Six sheets, one monthly review

Figures go in once on Monthly data. Every KPI, the trend and the report are calculated from them.

  1. 01

    KPI report

Each KPI for the chosen month against the previous month and the target, with the change and an on-target or off-target status.

  2. 02

    Trend

All eleven KPIs month by month for the year.

  3. 03

    Monthly data

Sixteen inputs per month: vehicles, vehicle days, days off road, distance, fuel, costs, PM tasks, maintenance jobs, incidents, fines and jobs.

  4. 04

    Definitions

What each KPI measures, its formula, direction, target, data source, owner and review frequency.

  5. 05

    Action log

Issues raised in the review with an action, owner and due date. Days overdue are calculated. Includes a 45-minute review agenda.

What is a fleet KPI report?

A fleet KPI report shows, once a month, whether the fleet is available, efficient, safe and on budget. It turns raw figures from fuel cards, the workshop, finance and dispatch into a short list of indicators, each compared with last month and a target, so the monthly review can focus on what is off track and who will fix it.

This monthly fleet KPI report template in Excel calculates eleven KPIs from sixteen inputs, shows a 12-month trend, keeps one agreed definition per KPI, and records the actions agreed in the review.

How to use the fleet KPI report template

  1. Agree definitions and targets on the Definitions sheet once, with the people who own each KPI.
  2. Each month, type the sixteen figures on Monthly data.
  3. Set the report month on Settings.
  4. Read the KPI report: this month, last month, the change, the target and the status.
  5. Record an action for every off-target KPI on the Action log and review it next month.

How do targets and status work?

Change = this month − previous month Status = On target if higher-is-better and this month ≥ target, or lower-is-better and this month ≤ target otherwise Off target

In the September example, maintenance cost per km fell from 0.135 to 0.118 but is still above the 0.110 target, so it stays off target even though it improved. Read status and change together: one says where you are, the other which way you are going.

Why does each KPI need one definition?

The same KPI name can hide different maths. Availability can mean days, hours or vehicles; cost per km can include or leave out depreciation. If the definition changes from month to month, the trend means nothing. The Definitions sheet records what each KPI measures, the formula, the data source and the owner, so everyone reads the same number the same way.

How to run the monthly fleet review

The Action log includes a 45-minute agenda: last month's actions, off-target KPIs, cost per km and fuel, safety, and new actions. Every action gets an owner and a due date, and open actions past their date show how many days they are overdue. To choose which KPIs to put on a dashboard in the first place, use the KPI planner in the fleet maturity assessment.

Limits of a spreadsheet KPI report

The report is only as good as the sixteen figures typed in each month, and gathering them from different systems takes time. It reports monthly totals, so it will not show a problem within the month until the month is over.

Questions

Fleet KPI report FAQs

Want the month's distance and fuel figures without collecting them by hand? Talk to Safee.

What KPIs should a fleet manager track?

Start with availability, cost per km, fuel consumption, PM compliance, unplanned maintenance share, incidents per distance and on-time jobs. Pick the ones tied to your goals and keep the list short enough to discuss in one meeting.

How do I calculate vehicle availability?

One minus vehicle days off road divided by vehicle days planned. Twenty vehicles planned for 25 days is 500 vehicle days; 20 days off road gives 96% availability.

How do I calculate fleet cost per km?

Divide fuel, maintenance and other running costs for the month by the km driven. Decide once whether to include depreciation and driver wages, and write it on the Definitions sheet.

What is PM compliance?

The share of preventive maintenance tasks done by their due date. It is a strong early warning of future breakdowns.

How do I set KPI targets?

Start from your own last six to twelve months, then set a realistic improvement. Targets copied from other fleets rarely fit your routes, vehicles and climate.

How often should fleet KPIs be reviewed?

Monthly for the full report, and weekly for KPIs that change fast, such as availability, PM compliance and on-time jobs.

Does the template work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. It also works in Excel and LibreOffice Calc, with no macros.

How is this different from the KPI planner in the maturity assessment?

The planner helps you choose which KPIs belong on your dashboard. This template is where you track the chosen KPIs every month.
