What is a fleet job description?

A fleet job description sets out why a fleet role exists, what the person does, how their performance is measured, what they need to bring and who they report to. Written well, it stops tasks from falling between roles, for example who checks workshop invoices or who blocks a misused fuel card, and gives every person in the team KPIs they can influence.

This fleet team job description library in Word covers 26 roles: the core roles most fleets need as they grow, plus management, compliance, systems and specialized fleet roles. Each is built on the same eight sections so you can edit, compare and approve them quickly.

The 26 fleet roles in the library

The roles are grouped in six families. Pick the ones your structure needs; most fleets start with the first role in each family and add the others as they grow.

Specialized fleetsCold Chain Fleet Manager · Cold Chain Quality Coordinator · Waste Fleet Manager · Construction Equipment Fleet Manager

The Fleet Compliance Coordinator covers transport compliance in any country, including Saudi Arabia (Transport General Authority and traffic department requirements). It lists what to track, not the rules themselves: check each authority's current requirement.

What each job description covers

  1. Job details: title, department, reporting line, direct reports, location, grade, working pattern and conditions (shifts, on-call, site visits) and version.
  2. Job purpose: why the role exists, in two sentences.
  3. Key responsibilities: 7 to 9 numbered duties.
  4. KPIs: five indicators with how each is measured, a target and a review frequency.
  5. Requirements: essential and desirable education, experience, licenses, skills and languages.
  6. Authority and decision limits: what the role can approve or stop.
  7. Working relationships: internal and external contacts.
  8. Approval and acknowledgement: signatures of the line manager, HR and the job holder.

How to adapt the job description templates

  1. Choose the roles you need. Small fleets often combine roles, for example fleet supervisor and fuel controller; larger or specialized fleets add the management, compliance and specialized roles.
  2. Fill the job details. Department, grade, location, working pattern and version.
  3. Edit purpose and responsibilities. Describe the work as it is done in your fleet and delete what does not apply.
  4. Set KPI targets from your own data. Use your last 6 to 12 months, not another fleet's figures.
  5. Agree authority limits. Confirm spend, vehicle release and driver suspension limits with finance and HR.
  6. Approve and sign. Manager, HR and job holder sign; review each description once a year.

How to set KPI targets for fleet roles

Each KPI in the library has a formula in Appendix A, so the target is set against the same calculation the monthly report uses.

Baseline = average of your last 6 to 12 months Target = baseline + a realistic improvement, usually at or slightly beyond your best recent month Check = the job holder can influence the KPI and the data exists

Worked example: a PM compliance target for the maintenance planner

Over the last six months PM compliance was 84%, 88%, 86%, 90%, 87% and 89%. The baseline is 524 ÷ 6 = 87.3%, and the best month was 90%. A target of 90% is ambitious but reachable; 98% copied from another fleet would be ignored after the first month. Write 90% in the target column of section 14.4 and review it after six months.

Common mistakes in fleet job descriptions

  • Duties nobody ownsWorkshop invoice checks or fuel exceptions sit between two roles.
  • KPIs the person cannot influenceA dispatcher measured on vehicle purchase price.
  • No target or no dataA KPI without a source is never reported.
  • Authority left vagueWho can approve spend or take a vehicle off the road must be written down.
  • Copied license rulesCheck license and medical requirements against current local rules for your vehicle classes.
  • Never reviewedRoles change as the fleet grows; review once a year.

Limits of the job description templates

The library is a starting point, not legal or HR advice. Grades, pay, nationalization quotas, working hours and license requirements depend on your organization and on current local rules, so have HR check each description before you publish it. To decide which roles and KPIs your fleet needs first, use the fleet management maturity assessment; to track the KPIs every month, use the fleet KPI report template.

Questions

Fleet job description questions, answered

What should a fleet manager job description include?

The job purpose, key responsibilities such as budget, policies, suppliers and safety, KPIs such as availability and cost per km, requirements, authority limits, the reporting line and an approval block.

Which roles are included in the job description library?

26 roles in six families: management (fleet manager, fleet operations manager, transport and logistics manager, regional fleet manager), daily operations (supervisor / dispatcher, fleet coordinator, driver supervisor, route planning analyst, field service fleet lead, carrier onboarding coordinator), maintenance, assets and fuel (maintenance manager, maintenance planner, workshop supervisor, procurement and asset manager, fuel controller), safety and compliance (safety manager, driver trainer, compliance coordinator, incident and claims coordinator), data and systems (data analyst, telematics specialist, systems implementation lead) and specialized fleets (cold chain fleet manager, cold chain quality coordinator, waste fleet manager, construction equipment fleet manager).

Is there a job description for a transport compliance coordinator in Saudi Arabia?

Yes. The fleet compliance coordinator covers licenses, permits, operating and driver cards, inspections and tracking requirements for any country, with Saudi Arabia as the example. It does not quote the rules, which change; check the Transport General Authority's and the traffic department's current requirements.

Who does a fleet manager report to?

Usually the operations director or chief operating officer, sometimes the logistics or supply chain head. The library leaves the line in brackets so you can match your organization chart.

What KPIs belong in fleet job descriptions?

KPIs the person can influence and you can measure: availability and cost per km for the manager, on-time jobs for the supervisor, PM compliance for the maintenance planner, L/100 km for the fuel controller, incidents per 100,000 km for the safety manager, documents valid for the compliance coordinator, trips within temperature range for the cold chain fleet manager.

Can one person cover several fleet roles?

Yes. Small fleets often combine the supervisor and fuel controller roles, or the maintenance planner and data analyst roles. Merge the responsibilities and KPIs, and keep the authority limits clear.

Can I edit the job descriptions?

Yes. The file is a normal Word document with no locked fields. Text in square brackets is for you to complete or delete.

How often should job descriptions be reviewed?

Once a year, and whenever the fleet, the systems or the structure change. Update the version and date in the job details table.
