Vehicle Cost Tracker: Cost per Vehicle and per km

Log every actual cost against the vehicle it belongs to, add month-end odometer readings, and the workbook does the rest: a vehicle × month cost matrix, cost per km by month and for the period, a ranking that flags vehicles above their group average, lifetime total cost of ownership with depreciation, and a dashboard with three charts.

From invoices to cost per vehicle and per km

You type in two places: the cost ledger and the odometer sheet. Everything else is formulas, so the matrix, cost per km, ranking and dashboard update as soon as you add a line.

  1. 01

    Vehicles

Group, site, purchase date and cost, residual value and useful life (for straight-line depreciation), and odometer readings at purchase and at the start of the view.

  2. 02

    Cost ledger

One line per invoice or statement: date, vehicle, category (fuel, maintenance, tires, insurance, registration, fines, tolls, lease, driver, other), amount, supplier and document number.

  3. 03

    Odometer

A month-end reading per vehicle for 12 months; km driven per month and in total calculate from the readings.

  4. 04

Monthly costs and cost per km

Vehicle × month cost matrix, fleet cost by category, cost per km by month and for the period, with and without depreciation, and cost per 100 km with and without fuel.

  5. 05

    Ranking and lifetime TCO

Each vehicle against its group average with an outlier flag, its largest cost category, and total cost of ownership and cost per km since purchase.

  6. 06

    Dashboard and settings

Ten headline figures, a stacked chart of cost by category, the cost per km trend and the top 10 vehicles, plus currency, view start month and the outlier factor.

What does a vehicle cost tracker show?

A fleet cost analysis starts with one question: what does each vehicle actually cost, and what does it cost per kilometer? Totals by cost type hide the answer. This tracker keeps every cost against a vehicle, so you can see which vehicles cost more than others of the same kind, which cost category drives it, and how cost per km moves month by month.

The costs are actuals from invoices, fuel card statements and payroll, not estimates. The cost per km uses odometer readings, so the result is only as good as the readings: a tracking system gives you the monthly distance without waiting for drivers.

How to use the vehicle cost tracker

  1. Set the currency, the first month of the view and the outlier factor on Settings. The sheets show 12 months from the first month.
  2. List your vehicles on Vehicles, with group, purchase data and the odometer at the start of the view.
  3. Enter each cost on Cost ledger with its vehicle and category. Split a shared invoice across vehicles before you enter it.
  4. Enter the month-end odometer for each vehicle on Odometer.
  5. Read Ranking and Dashboard each month, and look at the cost categories of any vehicle that is flagged.

How cost per km and the outlier flag are calculated

km in month = month-end odometer − previous month-end odometer Cost per km (month) = vehicle's ledger costs in the month ÷ km in the month Cost per km (period) = costs in the 12 months ÷ km in the 12 months Monthly depreciation = (purchase cost − residual value) ÷ useful life in months Cost per km incl. dep. = (period costs + monthly depreciation × months with km) ÷ km Outlier flag = cost per km > group average cost per km × outlier factor Lifetime TCO = depreciation to date + all ledger costs + costs before the ledger TCO per km = lifetime TCO ÷ (latest odometer − odometer at purchase)

Straight-line depreciation spreads the purchase cost minus the residual value evenly over the useful life. The outlier factor is a company choice; the file uses 1.2 as an example. The group average includes every vehicle in the group that has km in the period.

Worked example: one truck stands out

V-03 and V-04 are the same light truck model. From January to September 2026, V-04 cost 13,430 USD for 50,680 km, or 0.27 per km; V-03 cost 9,385 USD for 57,340 km, or 0.16 per km. The group average is (0.16 + 0.27) ÷ 2 = 0.21, so V-04 runs at 1.24 times the average, above the 1.2 factor, and is flagged.

Its maintenance column explains it: a 3,333 USD gearbox repair in May and brakes in August, on the oldest vehicle in the fleet. Its lifetime TCO sheet shows the depreciation already charged and the book value, which is what you need next to decide whether to repair it again or replace it. The Fleet Vehicle Replacement Calculator takes it from there.

How to keep the numbers right

  • One line per document. Keep the invoice or statement number, so any figure can be traced back.
  • Annual payments land in one month. Insurance paid in January raises January's cost per km. Compare vehicles with the period column, not one month.
  • Check the difference line. Monthly costs shows the gap between the fleet total and the category total. A gap means a ledger line has no vehicle or a vehicle that is not on the list.
  • Enter costs before the ledger. If a vehicle ran before you started the ledger, add its earlier running costs on Vehicles, or its lifetime cost per km will look too low.

Vehicle cost tracker or fleet budget?

The Fleet Annual Budget Template plans costs by type for the year and compares them with actuals, and its TCO sheet works with annual estimates. This tracker is the monthly ledger of what each vehicle actually cost. You can use both: the budget for the year, the tracker for each vehicle. For a quick estimate without a ledger, try the Vehicle Depreciation Calculator.

What the tracker does not do

It is a calculation tool, not an accounting system. It does not post entries or replace your accounts, and the depreciation method, useful life and residual value follow your company's accounting policy. All figures in the file are examples.

Distance and operation cost from the tracking system

The tracker needs accurate km for every vehicle every month. Safee reports give you the distance and an operation cost per trip, so the odometer sheet is no longer the weak point.

  • Operation cost report: cost per 100 km × distance for each trip, plus fuel cost from fuel used and the price per liter.
  • Operation cost per 100 km is a vehicle property: enter the tracker's cost per 100 km without fuel, since the report adds fuel cost on its own.
  • Calendar Mileage report: distance in working hours, out of hours, weekends and holidays.
  • Reports by email on a schedule, exported to Excel.
FAQ

Questions about vehicle cost tracking

Want monthly distance for every vehicle without asking drivers? Talk to Safee.

How do you calculate cost per km for a vehicle?

Add up the vehicle's costs for the period and divide by the kilometers it drove in the same period. The tracker does this per month and for 12 months, with and without depreciation.

Which costs should go into the tracker?

Fuel, maintenance, tires, insurance, registration and fees, fines, tolls, lease payments and, if a driver is assigned to the vehicle, driver cost. Use the same categories every month so vehicles compare fairly.

How does the tracker find a costly vehicle?

It compares each vehicle's cost per km with the average of its group, such as pickups or light trucks, and flags any vehicle above the average times the outlier factor you set. The example uses 1.2.

Does it include depreciation?

Yes. Monthly straight-line depreciation is (purchase cost minus residual value) divided by the useful life in months. Cost per km is shown both with and without it, and the Lifetime TCO sheet shows depreciation to date and book value.

How many vehicles can it handle?

50 vehicles and 2,000 ledger lines over a 12-month view. For a larger fleet, insert rows inside the ranges or start a new file each year.

Can I use it in Google Sheets?

Yes. Upload the file to Google Drive and open it in Google Sheets. The formulas and charts work, and the file has no macros.
