Exception Report
In Arabicتقرير الاستثناءات
A report listing only what broke the limits a fleet has set, such as speeding, long idling or a sudden fuel drop.
What is an exception report in fleet management?
A 200-vehicle fleet produces thousands of records a day, most of them normal. An exception report shows only what broke an agreed rule, so a supervisor's time goes to what needs action. It is the day-to-day form of management by exception.
A good one covers a few defined cases, shows for each exception the vehicle, driver, time, place and size of the breach, and arrives at a fixed time.
How it works
- 1Define rules and acceptable limits
- 2System logs every breach
- 3Report shows breaches only
Why does an exception report matter in fleet management?
A supervisor who reads everything sees nothing. An exception report cuts the daily review to minutes and stops the one incident that matters from getting lost among routine rows. It also leaves a record of what happened and what was done, which customers and auditors ask for after any incident.
What you gain
- Daily review in minutes
- Focus on what needs action
- Documented follow-up trail
How does Safee help you produce exception reports?
In Safee, exceptions are built on alarm conditions, so every speeding event, geofence exit or long idle is logged automatically. The Alarm Report groups them by type, vehicle or geofence and can reach supervisors by email every morning.
A field example
A waste-collection firm in Sohar used to check every truck's full trip log by hand. It replaced this with a daily exception report covering just three cases: idling over 20 minutes, leaving the work zone, and driving after 10 pm. Review time fell from two hours to 15 minutes, and the first week exposed two trucks stopping off-route every day.
Frequently asked questions
How is an exception report different from a standard report?
A standard report shows all activity; an exception report shows only the records that broke an agreed limit.
Which exceptions do most fleets track?
Speeding, long idling, out-of-hours driving, leaving permitted zones and sudden drops in fuel level.
How often should exception reports be reviewed?
Daily for operational cases such as speeding and idling, with a weekly or monthly look at the trend to see whether counts are falling.
