Cold Chain Temperature Excursion Log

A temperature log for refrigerated transport that checks every reading against the shipment's allowed range, adds up the minutes outside it and compares them with the agreed tolerance. Excursions, door openings and quality decisions sit beside the readings, and a one-page summary is ready for the customer or auditor.

What's inside

Six sheets, from the first reading to the evidence pack

Each shipment and compartment has one ID. Readings, excursions and door openings all point to it, so the summary can gather them in one place.

  1. 01

    Shipments

Shipment and compartment, vehicle, driver, customer, product, allowed range and tolerance. Readings, lowest and highest reading, minutes out of range, door openings and the result are calculated.

  2. 02

    Reading log

Date and time, temperature, humidity and the minutes each reading covers. The range is looked up and each reading gets a status.

  3. 03

    Excursion log

Start, end, worst reading, whether an alert arrived, cause, action and quality decision. Duration and whether it went over tolerance are calculated.

  4. 04

    Door log

Each door opening with the reason or stop. Minutes open are calculated, and openings over the limit are marked.

  5. 05

    Shipment summary

A one-page record for the shipment you choose: details, range, readings, minutes out, doors, result and the latest quality decision.

  6. 06

    Settings

Company, the door-open limit, the shipment for the summary and the vehicle list.

What is a cold chain temperature excursion log?

A temperature excursion is any time the product temperature leaves the range it must be kept in, such as 2 to 8 °C for many medicines, or the range set by the regulator or product owner for chilled food. An excursion log records each reading, each time the temperature left the range and came back, what caused it, what was done and whether the product was accepted, held or rejected. Customers and auditors ask for exactly this record.

This Excel cold chain temperature log template holds the readings for each shipment and compartment, adds up the minutes out of range, compares them with the tolerance you agreed, and gives you a printable summary per shipment.

How to use the cold chain temperature log

  1. Add each shipment and compartment with its allowed range and tolerance, as agreed with the product owner or customer.
  2. Paste the readings from your data logger or vehicle system into the Reading log, with the minutes each reading covers.
  3. Record every excursion with its cause, action and quality decision.
  4. Record door openings, especially at drops.
  5. Choose the shipment on Settings and print the Shipment summary for the customer.

How minutes out of range are calculated

Status = Above range if the reading > max, Below range if < min, otherwise In range Minutes out of range = sum of minutes covered by readings not In range Result = In range if minutes out = 0 Excursion within tolerance if minutes out ≤ tolerance otherwise Excursion over tolerance

In the example, SH-201-A had two readings above 8 °C, 8.6 and 9.1, each covering 15 minutes: 30 minutes out of range, which equals the 30-minute tolerance. SH-203-A had three readings above 8 °C, so 45 minutes, over tolerance, and the product was put on hold.

How to record a temperature excursion

For each excursion, record when it started and ended, the worst reading, whether an alert arrived, the cause, what was done and who decided what happens to the product. The log calculates the duration and marks excursions longer than the shipment's tolerance. A clear cause, such as a long door opening or a unit defrost during a stop, is what helps you prevent the next one.

Door openings and temperature

Long door openings at drops are a common cause of excursions. The door log records each opening with its reason and duration, and marks openings longer than the limit on Settings, 10 minutes by default. In the example, both drops for SH-201-A were over the limit, which matches when its temperature rose.

Shipment evidence for customers and audits

The Shipment summary pulls together the details, range, number of readings, lowest and highest reading, minutes out of range, door openings, result and latest quality decision for one shipment, with space for a signature. Print it or save it as PDF and send it with the delivery record.

Limits of a spreadsheet temperature log

The log works on the readings you give it. It does not read sensors, and minutes out of range are only as precise as the reading interval: readings every 15 minutes cannot show a 5-minute spike. Ranges and tolerances must come from the product owner, and the template is not a substitute for the quality procedures your products require.

Questions

Cold chain log questions, answered

Want temperature, humidity and door data from every reefer? Talk to Safee.

What is a temperature excursion?

Any period when the product temperature is outside its allowed range, for example above 8 °C for a 2 to 8 °C product. Whether it matters depends on how long it lasted and the product owner's rules.

What should a cold chain temperature log include?

For each shipment: the allowed range and tolerance, every reading with date and time, each excursion with cause, action and decision, door openings, and who signed off. The template has a sheet for each.

What is an excursion tolerance?

The time outside the range the product owner accepts before the product must be reviewed. It differs by product, so enter the value agreed for each shipment.

How often should temperature be recorded?

As often as your product and customer require. Shorter intervals catch short spikes; the template uses the minutes each reading covers, so any interval works.

Do door openings affect temperature?

Yes. Long or frequent openings at drops let warm air in. The door log marks openings longer than your limit so you can match them with the readings.

Can I record humidity too?

Yes. The Reading log has a humidity column next to temperature.

Does the template work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. In Excel it needs Excel 2019 or later, or Microsoft 365. It also works in LibreOffice Calc.

Does the template replace a quality procedure?

No. It records what happened. Ranges, tolerances and decisions come from your quality procedures and the product owner.
