Pre-Trip Inspection

In Arabicالفحص قبل الرحلة

In short

A short check the driver makes before setting off, covering tyres, lights, brakes, fluids and safety equipment, so defects are caught in the yard and not on the road.

What is a pre-trip inspection in fleet management?

A pre-trip inspection is a walk around the vehicle against a fixed checklist: tyre condition and pressure, lights and indicators, brakes, engine oil and coolant levels, mirrors, seat belts, and safety equipment such as the fire extinguisher, first-aid kit and warning triangle. The driver records the result and reports any defect before moving off. It is a daily check by the driver, unlike the periodic roadworthiness inspection carried out at approved test centres.

Many clients in the region, oil and gas operators in particular, require a documented pre-trip inspection under their road-safety rules. A telematics platform helps by moving the checklist from paper to the driver's phone and linking the defects found to maintenance.

How it works

  1. 1Driver checks vehicle against the list
  2. 2Results and defects recorded
  3. 3Defect fixed or vehicle held

Why does a pre-trip inspection matter in fleet management?

Many roadside breakdowns and accidents begin with something a two-minute check would have found: a soft tyre, a broken mirror, a coolant leak, a missing extinguisher. A defect found in the yard costs a short delay; on the highway it costs a tow, a late delivery or worse. A signed checklist also shows clients and investigators that the vehicle was fit when it left.

What you gain

  • Defects caught before departure
  • Fewer roadside breakdowns
  • Proof the vehicle was fit

How does Safee help you organise pre-trip inspections?

In Safee's driver mobile app you can build the checklist as an administrative task made of questions, each answered with a number, text, date or file, so the driver can enter a tyre pressure or attach a photo. Tied to a vehicle, the task reaches whoever drives it, and the answers are kept on the driver's record with the task's status: done or pending. Reported defects can then become maintenance tasks, which can also be assigned to a driver through the app.

A field example

Ras Al Khaimah · Staff transport

A staff-transport operator in Ras Al Khaimah running 60 buses to industrial sites always had complete paper checklists, yet it logged 14 roadside breakdowns in one quarter, nine of them from tyres or coolant. It moved the checklist into the driver mobile app as a task tied to each bus, with eight questions and two photos: the tyres and the coolant reservoir. Supervisors chased pending checks before departure, and reported defects reached the workshop the same morning. The following quarter roadside breakdowns fell to four.

Frequently asked questions

Who should carry out the pre-trip inspection?

The driver who will take the vehicle, because he is responsible for it on the road. Supervisors spot-check a sample of vehicles to keep the checks honest.

What should happen when the driver finds a defect?

Safety defects such as brakes, tyres, lights and seat belts keep the vehicle in the yard until fixed; minor defects are logged and booked for repair. Agree the list of no-go defects in advance so the decision is not left to the driver alone.
