Pool Vehicles

In short

Company vehicles that are not assigned to one person but shared among staff, booked or taken when needed and returned to a common base.

What are pool vehicles in fleet management?

Instead of giving every engineer, inspector or manager a car of their own, a company keeps a group of vehicles at one base. Staff book a vehicle for a visit or a shift, collect the keys and return it afterwards. Because each vehicle serves many users, fewer vehicles cover the same work, but someone must know who took which vehicle, for what and for how long.

The hardest part is accountability: fines, damage, fuel use and driving behaviour must be traced to the person who had the vehicle at that moment. Telematics solves this when every trip is tied to a driver, usually through an ID card or key presented before start-up.

How it works

  1. 1Employee books and collects a vehicle
  2. 2Driver ID logs the trip in their name
  3. 3Vehicle returns to the pool base

Why do pool vehicles matter in fleet management?

Assigned cars often stand most of the day while their users sit in meetings. Pooling them usually lets a company cover the same visits with fewer vehicles, cutting purchase, insurance and parking costs. Without controls, though, pool vehicles suffer more misuse and neglect than assigned ones, because nobody feels responsible for them.

What you gain

  • Fewer vehicles for the same work
  • Every trip tied to its driver
  • Clear accountability for misuse

How does Safee help manage pool vehicles?

Bookings stay in your own system; what Safee adds is accountability. With Dynamic Driver, each pool vehicle carries a driver ID reader: on supporting trackers only drivers on that vehicle's list can start it, and every trip, alarm and violation is recorded against the person who presented the card. The vehicle's history shows everyone who has used it, and alarms for driving out of working hours or away from approved sites catch vehicles kept overnight or used for personal errands. The Asset Utilization report then shows whether the pool is the right size.

A field example

Al Khobar · Engineering consultancy

An engineering consultancy in Al Khobar had 85 cars assigned to engineers who visited project sites. Trip data showed the average car moved for less than two hours a day. The firm turned 40 cars into pool vehicles at its two offices, fitted them with driver ID readers and sold 25 others. Site visits continued at the same rate with 60 cars, and every speeding fine on a pool car could be traced to the engineer who had it.

Frequently asked questions

How many pool vehicles does a team need?

Start from peak simultaneous use, not headcount: count how many vehicles were out at the same time on the busiest days over a few months, and add a small reserve for maintenance.

Who pays traffic fines on a pool vehicle?

Company policy decides, but it only works if the fine can be traced to the driver, by setting the time of the violation against the driver recorded for that trip.
