What does a road accident really cost a fleet?
The repair invoice and the insurance excess are the costs everyone sees. The rest arrives later and in other budgets: the vehicle sits in a workshop, a driver is off work, a supervisor spends a day on the claim, the premium goes up at renewal and a customer gets a late delivery. That is why accident cost is often drawn as an iceberg, with a small part above the waterline and a larger part below it.
This road accident cost calculator adds up both parts for one accident and shows the ratio of hidden to direct cost. Its second tab turns the figure into a yearly cost for your fleet, a cost per vehicle and the saving if accidents fall, which gives you a break-even budget for a safety program.
Which accident costs are direct and which are hidden?
| Group | What it includes | Where it shows up |
|---|---|---|
| Direct costs | Repairs you pay, insurance excess, towing, uninsured third-party damage, fines and report fees, report and claim time, compensation exposure | Invoices, claims and the fines account |
| Downtime | Replacement vehicle hire or lost income for each day off the road | Operations budget and lost jobs |
| People | Injury days, replacement driver or overtime, management time, investigation and retraining | Payroll and management time |
| Insurance | Premium increase at renewal and the lost no-claims discount | Next year's insurance budget |
| Customers | Penalties, refunds or credits for late or failed deliveries | Sales and customer accounts |
The calculator counts report and claim time as a direct cost, because every accident needs it.
How are accidents reported in Saudi Arabia, the UAE and Oman?
Reporting takes time, and that time belongs in the calculation. The procedures below are as of October 2026. They change from time to time, so check the current steps with the authority or your insurer. This page is not legal advice.
- Saudi Arabia. Najm for Insurance Services handles accident reports for insured vehicles. Its app lets a driver report an accident, photograph the scene, follow the case and track the report until it reaches the insurance company. Gulf News describes Najm as set up by the Saudi Central Bank (SAMA) and the General Department of Traffic, and advises calling the traffic police on 993 for serious accidents or when no party is insured. Source: Najm app listing · Gulf News.
- United Arab Emirates. Each emirate has its own channel. In Dubai, minor accidents can be reported in the Dubai Police app or through the On-the-Go service at partner petrol stations. In Abu Dhabi, the police moved minor accident reports to the Saaed app from 1 August 2024. Sharjah uses the Rafid app. Source: Gulf News on minor accidents in the UAE · Gulf News on Abu Dhabi.
- Oman. Accidents are reported to the Royal Oman Police (ROP). We did not find a current official page that sets out the procedure for minor accidents, so check it with ROP and your insurer.
Where a report fee is charged, add it to the fines and report fees field.
What data do you need to estimate accident costs?
| Input | Where to find it | Tip |
|---|---|---|
| Repairs, excess and towing | Workshop invoice, claim settlement, towing receipt | Enter what the company actually paid, after any recovery from the other party's insurer. |
| Days off the road | Workshop dates, fleet log, trip records | Count until the vehicle is back in service, not until the repair is finished. |
| Daily hire or lost income | Rental invoices, revenue per vehicle per day | Use contribution (revenue minus the costs you save), not total revenue. |
| Staff and management time | Estimates from supervisors and HR | Include the report, the claim, the investigation and any meetings. |
| Insurance effect | Renewal quote, your broker | Ask how a claim changes the price and the no-claims discount. |
| Customer penalties | Contracts, credit notes | Include refunds and credits as well as formal penalties. |
How is the true cost of an accident calculated?
Direct costs
Hidden costs
The iceberg ratio
Yearly cost and safety budget
In the second tab, the result of the first tab is treated as a minor accident, and a major accident costs that amount times the ratio you enter. You can also type both costs yourself.
Worked example: a minor collision and a year of accidents
A delivery van has a minor collision. All amounts are in the currency you choose.
- Direct costs: repairs 3,000 + excess 1,000 + towing 400 + fine and fees 500 + 3 report hours × 60 = 180, a total of 5,080.
- Downtime: 6 days × 350 for a replacement vehicle = 2,100.
- People: 2 injury days × 250 = 500, replacement driver 600, 10 management hours × 60 = 600 and investigation 500, a total of 2,200.
- Insurance: premium 4,000 × (15% + 10%) × 1 year = 1,000. Customers: 8 late deliveries × 75 = 600.
- Hidden costs are 2,100 + 2,200 + 1,000 + 600 = 5,900, and the accident costs 10,980 in total. For every 1 of direct cost there is 1.16 of hidden cost, and 54% of the total is hidden.
- A year: 60 vehicles have 18 accidents, 20% of them major (5 times the cost of a minor one). That is 14.4 × 10,980 = 158,112 plus 3.6 × 54,900 = 197,640, or 355,752 a year and 5,929 per vehicle. Of this, 191,160 is hidden cost.
- If accidents fall by 30%, the saving is about 106,726 a year. A safety program that costs less than 148 per vehicle per month pays for itself at that reduction.
How to read your results
- Hidden ÷ direct above 1 means more of the cost sits outside the invoice than on it. Managing only the repair bill misses most of the cost.
- The largest hidden item points to the first fix: long downtime calls for faster workshop turnaround or a spare vehicle, and heavy management time calls for a simpler reporting routine.
- Cost per vehicle helps with budgets and with comparing sites or vehicle types.
- The break-even budget is the most you could spend per vehicle per month on safety and still break even at the reduction you entered. It is not a forecast of what a program will achieve.
Common mistakes when costing accidents
- Counting only the insurance claim. The excess, downtime and staff time stay with the company even when the claim is paid.
- Using total revenue for downtime. A parked vehicle saves fuel and some running costs. Use the contribution you lose, or the hire cost of a replacement.
- Forgetting the renewal. A claim can raise next year's premium and remove a no-claims discount, and the effect can last more than one year.
- Ignoring small damage. Scrapes that are never claimed still cost repairs, downtime and time.
- Treating the ratio as fixed. The hidden-to-direct ratio depends on your fleet and your contracts. Work it out from your own records.
Assumptions and limits
Results are estimates based on the values entered. The calculator does not decide who is at fault, what insurance pays or what a court may award. Compensation and diyya depend on the case and the court, so the field is a planning figure, not legal advice. Premium effects vary by insurer and policy. The yearly tab assumes every minor accident costs the same and every major accident costs the same; real accidents vary widely, so use averages over several years where you can. The reduction is your assumption, not a measured or guaranteed result.
