What is a maintenance work order?
A maintenance work order is the instruction and the record for one repair or service job on one vehicle. It says what is wrong, how urgent it is, who will do the work, which parts and hours were used, what it cost, how long the vehicle was off the road and who approved the spend. Without work orders, maintenance cost per vehicle and downtime are estimates.
This maintenance work order template in Excel gives you a printable form with parts, labor and VAT totals, a register of every work order with overdue and approval flags, and a cost-per-vehicle summary for any date range.
What should a vehicle work order record?
| Field | Why it matters |
|---|---|
| WO number and date opened | One reference for the workshop, the invoice and the register |
| Vehicle and odometer | Links the job to the vehicle history and to distance |
| Reported fault and category | Shows repeat faults by vehicle and by system |
| Priority and target date | Sets how fast the job must be done; late jobs stand out |
| Technician or workshop | Shows who did the work and where |
| Parts (qty × unit price) and labor (hours × rate) | Lets you check quotations and invoices line by line |
| Downtime start and end | Measures time off the road, not only cost |
| Approval and status | Shows who approved the spend and where the job stands |
How to use the maintenance work order template
- Set up Settings once. Choose the currency from the list, then enter the VAT rate, whether VAT applies, the approval limit and your lists of vehicles, technicians and workshops.
- Open a work order for each job. Fill the number, vehicle, odometer, reported fault, priority and assigned technician or workshop. Make/model and target date fill in automatically.
- Add parts and labor. Type each part as quantity × unit price and each labor line as hours × rate. Totals and VAT are calculated.
- Record downtime and approval. Enter when the vehicle went off road and when it was released, then get the approval signatures the check asks for.
- Log it in the register. Copy the register line at the bottom of the form and paste it as values into the next empty row of WO register.
- Review cost per vehicle. Set the date range on Cost per vehicle and bring the vehicles with the highest cost and downtime to the monthly review.
How work order totals, VAT and downtime are calculated
The VAT rate, the VAT switch, the target days per priority and the approval limit are all on Settings. The default VAT rate is 15%, the standard rate in Saudi Arabia set by ZATCA; the standard rate in the UAE is 5% (Federal Tax Authority), as of October 2026. Check the current rate and how it applies to your invoices with your tax adviser. This template does not produce a tax invoice.
Worked example: a brake repair
Truck TRK-07 at 48,215 km is reported with a grinding noise when braking. The supervisor opens WO-2026-0142 on 5 October with High priority. High has a target of 2 days, so the target date is 7 October.
| Line | Calculation | Amount |
|---|---|---|
| Front brake pads (set) | 2 × 180.00 | 360.00 |
| Front brake discs | 2 × 240.00 | 480.00 |
| Brake fluid | 1 × 45.00 | 45.00 |
| Labor | 3.5 h × 120.00 | 420.00 |
| Subtotal | 885.00 + 420.00 + 0 | 1,305.00 |
| VAT | 1,305.00 × 15% | 195.75 |
| Total | 1,305.00 + 195.75 | 1,500.75 |
The truck went off the road at 08:30 on 5 October and was released at 14:00 on 6 October: 29.5 hours of downtime. The total is below the 2,500 approval limit, so the check reads Within approval limit. The job closed before its target date, so no overdue flag appears.
Common maintenance work order mistakes
- No odometer readingYou cannot link repairs to distance or check service intervals.
- One work order for several vehiclesCost per vehicle can no longer be worked out.
- Paying invoices without the work orderNobody checks quantities, prices or hours.
- Cost recorded, downtime notA cheap repair that keeps a truck off the road for three days is not cheap.
- Jobs left openLate jobs hide in the list. Close or cancel every work order.
- Vague faultsWrite the symptom, not "check vehicle", so repeat faults show up.
Work orders and preventive maintenance
The work order records each job after it is raised. To plan when service is due, use the preventive maintenance schedule template; to see which vehicles are overdue or due soon and test the cost of a day off the road, use the fleet maintenance planner. Give each PM task its own work order with the category Preventive service, so you can compare planned and unplanned work in the register.
Limits of a work order log in Excel
The register is only as complete as the work orders typed into it. It does not send reminders or read odometers by itself, copying the register line by hand can introduce errors, and several people editing one file at once can overwrite each other. As work orders grow into the hundreds per year, a maintenance system is easier to keep accurate.
