Preventive Maintenance Schedule Template

A fleet maintenance spreadsheet built around one question: what is due? Enter each task's interval in km, days or both, and when it was last done. The schedule reads the current odometer for each vehicle and shows what is overdue, due soon or OK.

What's inside

What's inside the preventive maintenance template?

Odometers go in once on the Vehicles sheet. The schedule, the work orders and the review all read from it.

  1. 01

    PM schedule

One row per vehicle and task: interval in km and days, last service, next due, km and days left, and status.

  2. 02

    Vehicles

Vehicle ID, type, site and the current odometer with its reading date.

  3. 03

    Work orders

Planned and unplanned jobs with parts, labor hours and rate. Total cost, days open and status are calculated.

  4. 04

    Spare parts

Stock on hand, minimum and reorder quantity. Stock value and a reorder flag are calculated.

  5. 05

    Backlog review

Overdue and due-soon tasks, open work orders, planned against unplanned jobs and cost for the month, and a meeting checklist.

  6. 06

    Site SOP

An eight-step procedure so every depot runs maintenance the same way.

  7. 07

    Settings

Currency, the due-soon window in km and days, and the month to review.

What is a preventive maintenance schedule?

A preventive maintenance (PM) schedule lists the service tasks each vehicle needs, how often, and when each was last done. Its job is to make work due before a fault forces it, so vehicles are serviced at a time you choose instead of when they break down.

This fleet maintenance schedule template in Excel tracks intervals by kilometer, by date or both, whichever comes first. It works out the next due point, how much is left and a status for every task, and adds work orders, spare parts and a backlog review for the weekly maintenance meeting.

How to use the preventive maintenance schedule in Excel

  1. List your vehicles on the Vehicles sheet with their current odometer.
  2. Add one row per vehicle and task on the PM schedule: the interval in km, days or both, and the date and odometer when it was last done.
  3. Update odometers weekly. The schedule reads them by vehicle ID.
  4. Filter by status. Open a work order for every Overdue and Due soon task.
  5. Close the work order with parts, hours and date, then update "Last done" on the schedule so the next due point moves on.

How does the schedule calculate what is due?

Next due (km) = last done (km) + interval (km) Next due (date) = last done (date) + interval (days) km left = next due (km) − current odometer Days left = next due (date) − today Status = Overdue if km left or days left is below 0 Due soon if either is within the window on Settings (1,000 km or 14 days by default) otherwise OK

In the example, TRK-07 had its oil changed at 36,000 km with a 15,000 km interval, so it is due at 51,000 km. At 50,500 km it has 500 km left: due soon. TRK-11 passed 60,000 km and is overdue by 1,200 km.

How to set preventive maintenance intervals

Start from the vehicle maker's service schedule. Use both km and days for tasks that age as well as wear, such as oil and brake fluid, so a vehicle that drives little is still serviced. Shorten intervals for severe use: heavy loads, dust, heat, short trips or long idling. Keep the same task names across vehicles so you can filter and compare them.

TaskTypical basisTip
Engine oil and filterkm and daysWhichever comes first.
Brake inspectionkm and daysShorter for urban stop-start work.
Tire rotationkmRecord the tread depth at each rotation.
Annual or periodic inspectiondaysLeave km empty.

Work orders and spare parts

Every job, planned or unplanned, gets a work order. The total cost is parts plus labor hours times the rate, and days open count until the job is closed. Jobs open more than 7 days are highlighted. On the Spare parts sheet, a part is marked for reorder when stock falls to its minimum.

Work order cost = parts cost + labor hours × labor rate Unplanned share = unplanned jobs ÷ all jobs in the month

Maintenance backlog review

The Backlog review sheet brings the numbers for the meeting together: overdue, due-soon and OK tasks, open work orders and those open more than 7 days, planned against unplanned jobs and their cost for the month, and parts to reorder. Six questions keep the meeting focused on decisions, including what gets done this week, which vehicles come off the road, and which faults keep coming back.

Limits of a maintenance schedule in Excel

The schedule is only as current as the odometer readings and the "last done" entries. If readings are a week old, a task can pass its due point unnoticed. The template does not read odometers or engine hours from the vehicle and does not send reminders.

How do I create a preventive maintenance schedule for a fleet?

List every vehicle, list the service tasks from the maker's schedule, set each interval in km, days or both, and record when each task was last done. Then compare the next due point with the current odometer and today's date every week.

Should intervals be in kilometers or days?

Use both for tasks that age as well as wear, such as oil and brake fluid, and treat whichever comes first as due. Use days alone for inspections and certificates, and km alone for wear items such as tire rotation.

What does "Due soon" mean in the template?

A task is due soon when it has less than 1,000 km or 14 days left. Change both values on the Settings sheet to give your workshop enough time to plan.

How often should I update odometer readings?

At least weekly, and daily for vehicles that cover long distances. The schedule can only show what is due as of the last reading.

What is a good share of unplanned maintenance?

There is no single figure, but a falling unplanned share over time shows the PM program is working. The Backlog review sheet tracks it each month.

Can several depots use the same template?

Yes. Add the site on the Vehicles sheet, filter the schedule by site, and follow the Site SOP so every depot records work the same way.

Does the template work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. It also works in Excel and LibreOffice Calc, with no macros.

How is this different from the Fleet Maintenance Planner tool?

The planner is a quick online check of which vehicles are due. This template is a working file you keep: schedule, work orders, parts and a monthly review.
