What is a vehicle handover form?
A vehicle handover form records the state of a company vehicle at the moment it passes from the fleet office to a driver, and again when it comes back. Both sides sign what they saw, so a scratch, a missing jack or an empty tank found at return can be traced to a period and a person, rather than argued about.
In the Gulf it is often called a vehicle custody form (عهدة سيارة), because the driver formally takes the vehicle into custody. This template covers both the printed form the driver signs at the vehicle and an Excel handover log the fleet office keeps for every vehicle that is out.
How to hand over a company vehicle, step by step
- Fill in the handover columns at the vehicle, with the driver: odometer, fuel, condition checklist, damage codes, tires, documents, accessories, keys and cards.
- Take photos of all four sides, the roof, the interior, the odometer and the fuel gauge, and write how many you took.
- Sign and log it. The driver signs the custody acknowledgement, both sides sign section 13, and you add one row to the handover log.
- Fill in the return columns on the same form when the vehicle comes back, and mark anything new in the damage grid.
- Close the row in the log with the return date, odometer, fuel, condition and any charge.
How do you record damage at handover?
The form splits the vehicle into six areas: front, rear, left side, right side, roof and windshield, and interior. For every mark, write a code and a short location in the column for that moment:
| Code | Meaning | Example |
|---|---|---|
| S | Scratch | S – rear bumper right corner |
| D | Dent | D – left rear door, lower edge |
| B | Broken or cracked | B – right mirror glass |
Write "None" for an area with no damage. A blank cell can mean "clean" or "not checked", and that difference is exactly what a dispute turns on. At return, any code that was not there at handover is ticked as new.
How does the handover log calculate status and days held?
The as-of date is today unless you type a fixed date on the Lists sheet. Fuel levels are compared by their position in the list (E, 1/4, 1/2, 3/4, F), so a vehicle handed over at 3/4 and returned at 1/2 is flagged. The Summary sheet counts vehicles with drivers, overdue returns and returns with new damage or missing items, and totals the charges pending approval.
Returning a leased or rented vehicle
Handing a vehicle back to a leasing or rental company brings charges the handover log does not cover: excess km, damage beyond what the contract tolerates, and late return. The Lease return sheet takes the terms from your contract, the km allowed, the excess km rate and the lessor's damage tolerance, and calculates the rest.
A checklist next to the table lists the 12 photos to take at return, from each side and corner to the dashboard with the odometer and fuel level. Take them with the lessor present if you can and keep them with the signed return form. The rates and tolerance in the examples are placeholders: use your own contract.
Worked example: a two-week handover
Omar takes van XYZ 5678 on 14 September 2026 for two weeks of field work. The form records 91,450 km, fuel at 3/4, no warning lights and "None" in every damage area. He returns it on 27 September at 92,830 km with fuel at 1/2 and a new scratch on the rear bumper.
- Days held: 27 September − 14 September = 13 days, one day before the expected return, so the status is Returned.
- Km driven: 92,830 − 91,450 = 1,380 km.
- Damage grid, rear: handover "None", return "S – rear bumper right corner", ticked as new.
- The log flags Fuel lower at return. The repair quote of 150 is entered as a charge with status Pending approval until the supervisor decides.
Common vehicle handover mistakes
- Signing before the walk-around. The signature is only worth what was checked before it.
- Leaving damage cells blank. Write "None" so a blank never stands in for "no damage".
- No photos, or photos without a time. Photograph the odometer and fuel gauge too, and keep the files with the form number.
- Skipping the return inspection when the next driver is waiting. A quick handover to the next driver moves the first driver's damage onto them.
- Forgetting cards and tags. A fuel card that is not handed back keeps working.
- Charging drivers without a basis. Record the quote or invoice and who approved it, and follow your policy and contracts.
What the form cannot tell you
The form shows the vehicle at two moments only. It does not show where the vehicle went in between, who actually drove it, or when the damage happened. Traffic fines still have to be checked against the dates the vehicle was held. The acknowledgement text is a starting point: driver liability and wage deductions depend on your contracts, company policy and local labor law, so have it reviewed before use. It is a working template, not legal advice.
