What's in the food transport vehicle hygiene log?

This log covers what happens before the trip and at hand-over. Readings during the trip, excursions and door openings go in the Cold Chain Temperature Excursion Log. The two templates are built to be used together.

  1. 01

    Settings

Company name, default cleaning interval, status date and summary month. It also holds the vehicle list (each vehicle can have its own interval), product groups with minimum and maximum temperature, and the dropdown lists.

  2. 02

    Cleaning log

Date, vehicle, cleaning type (routine, deep or after spill), chemical, dilution, contact time, who cleaned and who verified. Five inspection items: odor, residue, pests, seals and door gaskets, and drain.

  3. 03

    Pre-loading check

Pre-cooling target, reading and time, and whether the cargo area is clean and dry. The sheet looks up the product range and the days since the last cleaning, then shows Ready or Not ready.

  4. 04

    Delivery log

Customer, product group, temperature at loading and at delivery, door openings and minutes if known, transit time, and the receiver's name and signature. The result reads OK or Out of range.

  5. 05

    Cleaning status

For each vehicle: last cleaning, last deep clean and days since cleaning, then the status: OK, Due today or Overdue.

  6. 06

    Monthly summary

For each vehicle and the whole fleet: cleanings by type, cleanings that need action, not-ready loadings, out-of-range deliveries and the share of deliveries within range.

  7. 07

    How to use

Filling steps, the formulas, and a note that the values in the file are examples, not legal requirements.

What is a food transport vehicle hygiene log?

A food transport vehicle hygiene log is the record that the cargo area was cleaned, sanitized and inspected before food was loaded, and who did and checked the work. Customers and inspectors may ask for it together with the load temperatures at delivery.

This template keeps both in one file: cleaning of each vehicle, the check before loading, and each load's temperature at loading and at delivery. All it needs are values you type in or copy from your temperature logger.

How to use the hygiene and delivery log

  1. Set up Settings: company name, the cleaning interval your authority requires, your vehicles, and product groups with the temperature ranges the product owner requires.
  2. Log every cleaning of the cargo area with the chemical, contact time and the result of the five inspection items.
  3. Check the vehicle before loading: enter the pre-cooling target and the reading, and confirm the cargo area is clean and dry.
  4. Log every delivery with the temperature at loading and at delivery and the receiver's name and signature.
  5. Review cleaning status and the monthly summary each week, and clean overdue vehicles before they are loaded.

How the log calculates results

Cleaning result = Action needed if any item is Fail Incomplete if any item is blank, otherwise Pass Days since last cleaning = status date − vehicle's last cleaning date Cleaning status = Overdue if days since last cleaning > vehicle's interval Pre-loading status = Ready if the reading reached the target, is inside the product range, the cargo area is clean and dry and cleaning is not overdue; else Not ready Delivery result = OK if Min ≤ temp at loading ≤ Max and Min ≤ temp at delivery ≤ Max; otherwise Out of range

In the example, the "Chilled (example)" group has a range of 0 to 5 °C. Delivery DL-7002 was loaded at 2.6 °C and arrived at 6.2 °C, so the result is Out of range. Vehicle RF-102 was last cleaned on 4 October. With a status date of 15 October that is 11 days, more than the example interval of 7 days, so it shows Overdue.

Cargo area cleaning and sanitising log

Each row is one cleaning: the type, the detergent or sanitiser, the dilution or concentration, and the contact time in minutes. Contact time is how long the chemical stays on the surface to work, and the chemical's manufacturer sets it.

After cleaning, the checker rates five items in the cargo area: odor, residue, pests, seals and door gaskets, and drain. A damaged gasket leaks cold air and is hard to clean, so any Fail turns the whole row red until the corrective action is recorded.

Pre-cooling check before loading

Pre-cooling means running the refrigeration unit until the cargo area reaches its target temperature before loading. The sheet compares the reading with the target you enter and with the product group range, and finds the vehicle's last cleaning before the loading date. If cleaning is overdue or none is logged, the vehicle shows Not ready.

Refrigerated delivery hand-over log

For each delivery you record the temperature at loading and at delivery, both times, and door openings and minutes if the driver or the tracking system provides them. The sheet works out the transit time in minutes, even across midnight, and checks both readings against the product range. The last two columns print with space for the receiver's name and signature.

Regulatory requirements differ by authority

Requirements for food transport differ between authorities, for example SFDA in Saudi Arabia and the municipalities in the UAE, and they can change. The temperatures, cleaning intervals and chemicals in this template are examples, not legal requirements. Check your authority's current requirement and apply it, together with your customer's specification and your food-safety plan.

Limits of the template

The template records what you enter; it does not read sensors. Readings at loading and at delivery do not show a temperature rise during the trip: a load can arrive within range after leaving it on the road. Use it with an in-trip temperature log, or with temperature sensors connected to a tracking system.

Why do I need a hygiene log for food transport vehicles?

It shows when the cargo area was cleaned and sanitized, with which chemical, who did it and who checked it, and whether the vehicle was ready before loading. Customers and inspectors may ask for exactly this during audits or after a complaint.

How often should the cargo area be cleaned?

Your authority's requirements, the customer contract, your food-safety plan and the type of load decide that. The template does not set an interval: enter it in Settings. The value in the file, 7 days, is only an example. Always clean after a spill.

What is the difference between routine, deep and after-spill cleaning?

The template uses these three types to classify the records. Your plan defines what each covers; a deep clean is usually wider than a routine one and reaches walls, ceiling, floor, drains and seals. After-spill cleaning is logged as soon as it happens and is counted separately in the monthly summary.

What is contact time and why record it?

Contact time is how long the sanitiser stays on the surface to work, as set by its manufacturer. Recording it shows the chemical was applied properly, not sprayed and rinsed off at once.

What is the right temperature for chilled and frozen food?

The authority and the product owner set it, and it can differ by product. The ranges in Settings are examples only: replace them with the range each of your product groups requires.

How is this different from the cold chain temperature log?

This log covers cleaning, the check before loading and the temperatures at loading and at delivery. The Cold Chain Temperature Excursion Log covers readings during the trip, excursions and door openings. Use both to document the whole trip.

Does the receiver need to sign for the delivery?

The delivery log has columns for the receiver's name and signature when printed. Your procedures and the customer contract decide whether a signature on the delivery note or an electronic signature is enough.

Does the template work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. In Excel it needs version 2019 or later or Microsoft 365, and it also works in LibreOffice Calc.

Does the template replace a food-safety plan?

No. The template records what happened. Approved chemicals, cleaning intervals, temperature ranges and what to do when something fails come from your food-safety plan and your authority's requirements.
