Vehicle Pre-Mobilization Inspection Checklist

Get every vehicle ready before your oil and gas client inspects it. Put the client's own items in the Excel file, mark which are required and which stop mobilization, then check up to 12 vehicles side by side: documents and limits, IVMS, seat belts and rollover protection, safety equipment, tires, brakes and desert kit. Each vehicle gets a result, and the register tracks re-inspection and client acceptance.

Free: enter your name, email and job title and we email you the file. The checklist works in Excel, Google Sheets and LibreOffice Calc with no macros; the form opens in Word, Google Docs and LibreOffice.

What's in the files

Your client's items, every vehicle, one result

Set the items once for the client, check the vehicles in the yard with the printed form or a tablet, and keep the result and the client's acceptance in one register.

  1. 01

    Excel: Settings

Client, contract and location, and the 44 example items in 9 sections, each with Required and Critical (Yes or No) and a column for the client's clause or limit. Six empty rows take the client's own items.

  2. 02

    Excel: Checklist

Items down the side and up to 12 vehicles across. Pass, Fail or N/A from a list, required items still to check in amber, and four rows per vehicle: required items failed, critical items failed, items not checked and the result.

  3. 03

    Excel: Vehicles

A register filled from the checklist (plate, type, model year, date, inspector, failures, result) with your re-inspection date, client acceptance and sticker or permit number, and a count of vehicles ready.

  4. 04

    Word: printable form

One vehicle on three A4 pages: vehicle and inspection details, the client's limits, the same 44 items with Pass, Fail and N/A boxes, four lines for extra items, the result and signatures of the inspector, your fleet supervisor and the client.

What is a vehicle pre-mobilization inspection?

Before a contractor's vehicles start work on an oil and gas site, the client inspects them against its own vehicle standard: documents, age and odometer limits, IVMS, seat belts, rollover protection on pickups, fire extinguisher and first aid kit, tires, brakes and lights. A vehicle that fails waits at the gate, and every day of waiting is a day of standby on the contract.

The pre-mobilization inspection is your own check before the client's. This template turns the client's list into a checklist you can run on the whole fleet, shows which vehicles are ready, and records what was fixed, so the client's inspector finds nothing new.

How to use the checklist

  1. Load the client's items: on Settings, edit the example items to match the client's checklist, set Required and Critical, and add their own items in the empty rows.
  2. Write the client's limits: maximum age, maximum odometer and minimum tread depth go in Client reference, next to the item.
  3. Inspect each vehicle: print the Word form for the yard, or fill the Checklist column directly. Mark every item Pass, Fail or N/A.
  4. Fix and re-inspect: the result shows which vehicles cannot go; fix the failed items and check again.
  5. Record acceptance: on Vehicles, enter the re-inspection date, the client's acceptance and the sticker or permit number.

What do the 44 items cover?

SectionExamples
Documents and limitsRegistration, insurance, periodic inspection, age and odometer within the contract limit
IVMS and trackingDevice reporting, driver identification, seatbelt signal, speed limits set, satellite tracker for remote areas
Occupant protectionThree-point belts on all seats, head restraints, airbags, rollover protection on pickups, load barrier
Safety equipmentFire extinguisher, first aid kit, warning triangles, vests, chocks, reverse alarm
Lights, tires, brakesLights and mirrors, tread depth and damage, spare wheel, brake test, steering, leaks
Desert and off-roadSand flag, four-wheel drive, recovery kit, tire gauge and compressor, drinking water

How does the checklist decide the result?

Required failed = items marked Required with the result Fail Critical failed = items marked Critical with the result Fail Not checked = Required items with no result yet Result = "Not ready: critical item" if Critical failed > 0 else "Not ready" if Required failed > 0 else "Incomplete" if Not checked > 0 else "Ready"

Items not marked Required are recorded but do not change the result. Which items are critical is your client's decision: in the example, documents, IVMS, seat belts, rollover protection, fire extinguisher, tires, brakes and steering are critical.

Worked example: four vehicles before a new contract

  • LV-101, a 2025 pickup, passes every required item: Ready. The client accepted it and issued sticker IVMS-2026-0412.
  • LV-102, a 2023 pickup, has no rollover protective structure. The item is critical, so the result is Not ready: critical item; the structure is fitted and the vehicle is re-inspected on 29 October.
  • HV-303, a truck, has an oil leak. The item is required but not critical: Not ready until the leak is fixed.
  • BUS-201 has four tire items not yet checked: Incomplete, and the empty cells show in amber.

Common mistakes before a client inspection

  • Checking against a generic list. Each client has its own items and limits; load theirs.
  • IVMS fitted but not reporting. The client looks at the platform, not the box under the dashboard. Check the vehicle shows online with its driver.
  • Forgetting the age limit runs on. A vehicle that passes today may age out next year; check the whole contract with the Contract Vehicle Compliance Checker.
  • Expired extinguisher tags and first aid kits. Small items fail more vehicles than big ones.
  • No record of the fix. Keep the re-inspection date and what was done; the client may ask.

What the template does not do

The items are common examples, not any client's official checklist, and the template does not know Aramco, ADNOC, PDO, QatarEnergy or KOC requirements. Your client's inspection decides acceptance. Driver documents and training are outside this checklist; use the Driver Onboarding & Compliance Pack for them. For a daily walk-around once the vehicle is working, use the Vehicle Inspection Checklist.

Show the client the IVMS data, not just the device

Safee's RAG, RALG and IVMS Road Safety reports turn the IVMS data of each vehicle and driver into the ratings oil and gas clients ask contractors for, and the SP2000 alarms cover overspeed, harsh braking, harsh acceleration and seatbelt.

  • SP2000 alarms for overspeed, excessive overspeed, harsh braking, harsh acceleration and seatbelt.

FAQ

Questions about pre-mobilization vehicle inspections

Need IVMS reports ready for your client's inspection? Talk to Safee.

What is checked in a pre-mobilization inspection?

Documents and the contract's age and odometer limits, IVMS, seat belts and rollover protection, safety equipment, lights, tires, brakes, steering and, for desert work, the off-road kit. The client's own checklist decides the exact items.

Does this template include Aramco, ADNOC or PDO requirements?

No. It holds common example items. Load your client's checklist on the Settings sheet and set which items are required and critical.

What is a critical item?

An item that stops the vehicle from mobilizing when it fails, such as brakes, seat belts or an IVMS that does not report. Your client decides which items are critical.

How many vehicles does the checklist hold?

Twelve side by side. For a larger fleet, copy the file for each group of vehicles or each site.

Can I use it on a tablet in the yard?

Yes. The Excel file works in the Excel and Google Sheets apps; the Word form prints on three A4 pages for a clipboard.

Do the files work in Google Sheets and Google Docs?

Yes. Upload them to Google Drive and open them there. They also work in Excel, Word and LibreOffice, with no macros.
