What is a fleet document expiry reminder?

A fleet document expiry reminder is a list of every vehicle and driver document with its expiry date. The tool works out the days left for each document, sorts them from the soonest expiry to the latest and puts each one in one of four states: expired, urgent, coming up or valid. You set the two thresholds between the states, 30 days and 7 days by default.

It then builds an .ics calendar file with an event on each expiry date and two alerts before it. You import the file once, and the reminders come from your calendar without going back to the list.

Why track vehicle and driver document expiry dates?

An expired document can keep a vehicle off the road or a driver out of the cab until it is renewed. Dates are hard to follow when they are spread across registrations, insurance, periodic inspections, licenses and residence permits. The reminder helps you:

  • See what has expired at once. Expired documents sit at the top, with the number of days since expiry.
  • Start renewals early. Some renewals need an inspection, a payment or an appointment first, and the first reminder gives you that time.
  • Spread the work across months. The monthly view shows when renewals bunch up, so you can plan appointments and budget ahead.
  • Move follow-up into the calendar. A reminder that reaches your phone or inbox does not depend on someone opening a spreadsheet.

Which documents does the expiry reminder track?

You pick the type of each document from the list. Names and renewal rules differ by country and by activity, so check the current requirement with the authority responsible in your country.

DocumentBelongs toTracking tip
Vehicle registrationVehicleRecord the expiry date printed on the document, not the date of the last renewal.
Periodic inspectionVehicleIf renewing the registration needs a valid inspection, set the first reminder earlier.
InsuranceVehicleInsurance dates often differ from registration dates, so give each document its own row.
Operating cardVehicleApplies to vehicles in transport activities that require one. Check your regulator's requirement.
Driver's licenseDriverPut the driver's name in the first column and add the license, driver card and residence permit as separate rows.
Professional driver cardDriverRequired for drivers in some transport activities. Check with the authority responsible.
Residence permit or IDDriverAn expired residence permit can hold up a license or driver card renewal, so track them together.
OtherVehicle or driverAny document with an expiry date, such as a site access permit or a training certificate.

How days left and document status are calculated

Days left = Expiry date − Check date Near threshold = the smaller reminder value (7 days by default) Far threshold = the larger reminder value (30 days by default)
  • Expired: days left below zero.
  • Urgent: from zero up to the near threshold. Zero means the document expires today.
  • Coming up: above the near threshold up to the far threshold.
  • Valid: above the far threshold.

The list is sorted by days left, so expired documents come first, then the soonest expiries. The monthly view counts documents not yet expired in each of the 12 months starting with the month of the check date.

How the .ics calendar file for expiry reminders works

An .ics file is a text file in the standard iCalendar format (RFC 5545) that common calendar apps can read. The tool builds the file in your browser when you press the button and does not send your rows to any server.

For each valid document: an all-day event on the expiry date Alert 1: first reminder days before expiry, at the reminder hour Alert 2: second reminder days before expiry, at the reminder hour With the defaults: 30 days before at 09:00 and 7 days before at 09:00

Each event has a stable ID built from the vehicle or driver name and the document type. When you renew a document and export the file again, calendar apps that honor the ID can update the old event instead of adding a copy. Events are stored as dates without a time zone, so alerts show at the reminder hour on your device's clock wherever you are.

Google Calendar may apply your default notification settings to imported events instead of the alerts in the file. The "separate event on each reminder day" option adds standalone events on both reminder days, so they appear in your calendar whatever your notification settings are.

Worked example: four documents and two reminders

The check date is 1 November 2026, the first reminder is 30 days before expiry and the second is 7 days before.

  • The registration for vehicle ABC 4821 expired on 26 October: 26 October − 1 November = −6 days, expired.
  • Insurance for vehicle KLM 1234 expires on 5 November: 4 days, under 7, so it is urgent.
  • Driver Salem's license expires on 20 November: 19 days, between 8 and 30, so it is coming up. Alert 1 fell on 21 October and alert 2 is on 13 November at 09:00.
  • The operating card for vehicle HDK 7310 expires on 15 January 2027: 29 days to the end of November, 31 in December, then 15 = 75 days, valid.

Result: 3 of 4 documents have expired or expire within 30 days. The calendar file holds 3 events for the documents not yet expired, each with two alerts. In the file, "30 days before at 09:00" is written as TRIGGER:-P29DT15H, which is 29 days and 15 hours before the start of the expiry day.

How to use the document expiry reminder, step by step

  1. Set the two reminders. Choose how many days before expiry the first and second reminders come, based on how long renewals take you.
  2. Enter the documents. One row per document: plate number or driver name, document type and the expiry date as printed.
  3. Review the status. Start with expired, then urgent, and look for busy months in the Next 12 months tab.
  4. Download the calendar file. Press the calendar file button, then open or import the file into your calendar.
  5. Update after each renewal. Change the date in the list, copy the input link to keep your list, and export the file again.

Common mistakes in tracking fleet document expiry

  • Relying on one reminder. A single reminder a few days out leaves no time for an inspection or an appointment. The first reminder is for preparing, the second for confirming.
  • Putting several documents in one row. Each document has its own date, so insurance, registration and inspection need separate rows.
  • Entering dates from memory. Copy the date from the document itself or from the official platform.
  • Forgetting driver documents. A roadworthy vehicle still stands idle if its driver's license or residence permit has expired.
  • Leaving the calendar stale. After a renewal, change the date and export the file again, or you will get reminders for a document already renewed.

Assumptions and limits

Results rely only on the dates you enter. The tool does not connect to any government platform or insurer and does not verify documents. It does not set grace periods, fines or renewal conditions; these differ between authorities and activities and must be checked with the authority responsible. Alerts depend on your calendar app's settings, so check after importing that they show as you expect.

Questions

Fleet document expiry reminder questions, answered

Want these reminders inside your fleet platform? Talk to Safee.

How do I see which documents are about to expire?

Enter each document with its expiry date. The tool works out the days left and labels each one: expired, urgent within the second reminder, coming up within the first reminder, or valid. Expired documents and the soonest expiries come first.

How do I add document expiry dates to Google Calendar?

Download the calendar file, open Google Calendar on a computer, go to Settings, then Import & export, then Import, and choose the file and the calendar to add the events to. A separate calendar for documents makes later changes or removal easier.

How do I import the file into Outlook or Apple Calendar?

In Outlook, open the file or import it from Add calendar or Import/Export, depending on your version. In Apple Calendar on iPhone or Mac, open the file and choose the calendar to add the events to.

Why don't the alerts show in Google Calendar after import?

Google Calendar may apply your default notification settings to imported events instead of the alerts in the file. Turn on the separate event on each reminder day option before downloading, so the reminder days appear as their own events.

What happens if I export the file again after a renewal?

Each event has an ID built from the vehicle or driver name and the document type. Apps that honor this ID update the old event with the new date. If the event shows up twice in your calendar, delete the old one by hand.

How many days before expiry should the first reminder be?

It depends on what renewal takes in your case: an inspection, a payment or an appointment. The defaults of 30 days and 7 days are examples to change. If renewal needs steps in advance, set the first reminder earlier and check the allowed window with the authority responsible.

Is my document data sent to Safee?

No. Results and the calendar file are built in your browser, and the rows you enter are not sent to any server unless you request the report. Then Safee receives the contact details you enter and a link with your inputs, so it can email you the report. The input link stores the rows inside the link itself, so share it only with people you trust.

Does the tool replace checking official platforms?

No. It works with the dates you enter and does not connect to any government body or insurer. Check each document's status and renewal requirements on the official platform of the authority responsible.
