Waybill

In Arabicبوليصة الشحن

In short

A document travelling with a road shipment that names the shipper, consignee, goods and vehicle, used to track and bill it.

What is a waybill in fleet management?

A waybill is a shipment's identity on the road: its number, shipper and consignee, goods and weight, vehicle and driver. In Saudi Arabia, licensed road carriers and freight brokers must issue an electronic transport document through the Transport General Authority's platforms.

Safee links waybill data from the company's shipment system through its API. The waybill number becomes searchable, loaded and empty vehicles are shown in the dashboard's Waybill Status widget, and the Waybill Mileage Report gives each waybill its loading time, arrival time and distance covered loaded.

How it works

  1. 1Shipment system sends waybill to Safee
  2. 2Waybill linked to the loaded vehicle
  3. 3Distance logged until arrival

Why does a waybill matter in fleet management?

Linking waybills to tracking turns "where is my shipment?" into an instant answer and bases distance invoices on recorded kilometres rather than fixed tables. It also shows loaded vehicles off route and empty ones standing too long.

What you gain

  • Track shipments by number
  • Bill by actual distance
  • Separate loaded from empty

How does Safee help link waybills to tracking?

Once your shipment system is linked to Safee, every waybill has a tracking record: when it was loaded, where the vehicle is now and how many kilometres it has covered loaded. You answer customers instantly and bill on actual distance rather than fixed tables.

A field example

Riyadh · Road freight

A road freight company in Riyadh billed customers by intercity distance using fixed tables, and disputes were constant. After linking waybills to Safee, it began producing loaded distance per customer each month. Invoice disputes fell by about two thirds within a quarter.

Frequently asked questions

Is an electronic waybill mandatory in Saudi Arabia?

Yes for road freight: licensed carriers and freight brokers issue an electronic transport document through the Transport General Authority's platforms. Check the TGA's current rules for your activity.

What is the difference between a road waybill and a marine bill of lading?

A marine bill of lading is a document of title that can be traded; a road waybill is a receipt and transport document that does not transfer ownership.
