Unauthorised Vehicle Use
In Arabicالاستخدام غير المصرح به للمركبة
Using a company vehicle without permission, such as personal trips, weekend use, driving away from work sites or driving by an unauthorised person.
What is unauthorised vehicle use in fleet management?
Unauthorised use is any operation of a vehicle beyond what the company allows: personal errands after hours, weekend use, side jobs in a company vehicle, or driving by someone who is not authorised.
Out-of-hours driving is the most common form, but not the only one. It is usually caught with three tools together: permitted working hours and sites, driver identification before the engine starts, and a comparison of distance on working days with distance on days off.
How it works
- 1Permitted hours and sites are defined
- 2Platform detects use outside them
- 3Alarm fires, distance is recorded
Why does unauthorised vehicle use matter in fleet management?
Every unauthorised kilometre is fuel paid for, tyre wear and a service brought forward, plus legal liability for the company if there is an accident. In a large fleet, routine personal use can push operating costs up noticeably without showing on any single invoice.
What you gain
- Stops hidden fuel waste
- Limits company liability
- Extends vehicle life
How does Safee help detect and prevent unauthorised vehicle use?
Safee flags engine starts at restricted times and, through the Distance out Working Places & Hours alarm condition, distance driven outside work sites and hours, and splits distance into working hours, out-of-hours, weekends and public holidays according to the company's business calendar; the Calendar Mileage Report shows this split. On supporting trackers, starting can be limited to authorised drivers, and a vehicle can be immobilised remotely.
A field example
A facilities-maintenance company in Riyadh found that fuel use across its 90 service vans did not match the number of jobs completed. The Calendar Mileage Report showed 18% of monthly distance was driven at weekends. The company set an engine-start alarm for Fridays and Saturdays with a supervisor notification and published a written personal-use policy. The following month weekend distance fell to 4% and the fuel bill dropped by about 14%.
Frequently asked questions
How can I tell if company vehicles are used after hours?
Compare distance driven in and out of working hours, and on days off, over a full month, then set an alarm for engine starts at restricted times.
Can unauthorised people be stopped from starting a vehicle?
Yes. On trackers that support it, a list of authorised drivers is loaded into the device so the engine only runs for them, and the vehicle can also be immobilised remotely.
