What's inside

Four sheets, one source of truth for the fleet

Everything else in fleet management starts from this list: maintenance, fuel, insurance and budgets all rely on the same vehicle IDs.

  1. 01

    Asset register

Vehicle ID, plate, type, make, model, year, VIN, site, department, driver, ownership, acquisition date and price, lease end, odometer and document expiry dates. Age, next renewal, days left and document status are calculated.

  2. 02

    Fleet summary

Vehicles in the fleet, split into active and off road, average age, and expired or due-soon documents, by type, site and ownership.

  3. 03

    Custody log

Fuel cards, tools, devices, keys and safety equipment issued to drivers or vehicles, with days out and overdue returns.

  4. 04

    Settings

Currency, the renewal window in days, and the lists of vehicle types, sites and drivers.

What is a fleet asset register?

A fleet asset register is the master list of every vehicle and unit you operate: what it is, where it is, who uses it, who owns it and when its documents expire. It is the one place everyone checks before they plan maintenance, renew insurance, assign a driver or replace a vehicle, so it has to be complete and current.

This fleet asset register template in Excel keeps that list in one sheet, calculates the next document renewal for every vehicle, summarizes the fleet by type, site and ownership, and adds a custody log for fuel cards, tools and devices.

What should you record for each vehicle?

GroupFields
IdentityVehicle ID, plate, VIN or chassis number, type, make, model, year
UseSite, department, assigned driver, status (active, off road, disposed)
OwnershipOwned, leased or rented; acquisition date and price; lease end
DocumentsRegistration expiry, insurance expiry, next periodic inspection
MeterCurrent odometer

Pick one vehicle ID format, such as TRK-07, and use it in every other file. That is what lets the fuel log, maintenance schedule and budget link back to this register.

How to use the fleet asset register

  1. Set up the lists of vehicle types, sites and drivers on the Settings sheet.
  2. Add one row per vehicle with its identity, use, ownership and document dates.
  3. Filter the Documents column every week for Expired and Due soon, and start renewals.
  4. Update the odometer monthly, or whenever you record a service.
  5. Mark a vehicle Disposed when it leaves the fleet. Keep the row for the record.

How does the register track renewals?

Next renewal = the earliest of registration expiry, insurance expiry, next inspection and lease end Days left = next renewal − today Documents = Expired if days left is below 0 Due soon if days left is within the window on Settings (30 days by default) otherwise OK Age = this year − model year

In the example, TRK-07's insurance ends in 22 days, so it is due soon; TRK-11's registration expired 9 days ago. Disposed vehicles are left out of renewals.

Fleet summary by type, site and ownership

The summary counts the fleet's vehicles, split into active and off road, and shows average age and documents expired or due soon. Tables by type, site and ownership show where the fleet is and how it is held, which helps when you plan replacements or compare depots.

Custody log for fuel cards, tools and equipment

Fuel cards, tools, tablets, keys and safety equipment go missing when nobody records who has them. The custody log records each item, who it was issued to and when it is due back. Days out are calculated, and items past their return date are marked Overdue.

Limits of a spreadsheet asset register

The register is only as good as the last update. Odometer readings, drivers and status change every day, and a spreadsheet does not know until someone types it in. The template does not send renewal reminders or read vehicle data.

Fleet asset register FAQs

Want to see every vehicle in the register on a live map? Talk to Safee.

What should a fleet asset register include?

For each vehicle: ID, plate, VIN, type, make, model and year; site, department and driver; ownership, acquisition date and price; document expiry dates; status and odometer. The template has a column for each.

What is the difference between an asset register and a vehicle inventory?

They are often the same list. An inventory says what you have; a register also records ownership, value, documents and status, so it can be used for insurance, renewals and replacement planning.

How do I track registration and insurance renewals?

Record each expiry date in the register. The template finds the earliest one for every vehicle and marks it Due soon within 30 days, or Expired once the date has passed.

Should disposed vehicles stay in the register?

Yes. Keep the row and mark it Disposed. It stays available for audits, insurance and history, and is left out of counts and renewals.

How often should the register be updated?

Update a row whenever something changes, such as a new driver, a sale or a renewal, and update odometers at least monthly. Review document status weekly.

What is a custody log for?

It records fuel cards, tools, devices and keys issued to drivers, so you know who has what and when it is due back. Overdue returns are highlighted.

Does the template work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. It also works in Excel and LibreOffice Calc, with no macros.

Can I add equipment and trailers?

Yes. Add the type on the Settings sheet and enter them like vehicles. Leave fields that do not apply empty.
