What's inside

What's inside the vehicle inspection checklist?

The driver fills in the checklist and the workshop works from the defect log, so nothing found on a walk-around is forgotten.

  1. 01

    Inspection checklist

Vehicle, date, odometer, driver and type, then 29 checks in walk-around order. Counts of defects and critical defects, and a safe-to-drive result.

  2. 02

    Defect log

Date, vehicle, defect, severity, action, owner and date fixed. Days open and status (open, overdue, closed) are calculated.

  3. 03

    Heat readiness

Ten checks to run before and during the hot season, from air conditioning and coolant to drinking water on board.

  4. 04

    Handover form

Odometer, fuel level, existing and new damage, and ten items handed over, signed by both people.

  5. 05

    Settings

Your vehicle list for the dropdowns, and target days to fix critical, major and minor defects.

What is a vehicle inspection checklist?

A vehicle inspection checklist is the list of checks a driver makes before a trip, and often after it, to find faults before they cause a breakdown or an accident. In a fleet it is also a record: who checked which vehicle, when, and what they found.

This pre-trip inspection form follows a walk-around order, marks the checks that should stop a vehicle from being driven, and has a log for every defect so the workshop can close it. It works in Excel, Google Sheets and LibreOffice Calc, and prints on one page.

How to use the vehicle inspection form

  1. Add your vehicles on the Settings sheet, and check the target days to fix each severity.
  2. Before each trip, the driver fills in the vehicle, date, odometer and inspection type, then marks every check as OK, Defect or N/A, with a note or photo reference for each defect.
  3. Read the result at the top of the sheet before driving off.
  4. Copy each defect to the Defect log the same day, with its severity and who will fix it.
  5. Review the Defect log weekly: filter for Overdue and Open, and record the date each fault is fixed.

Rename, add or remove checks to suit your vehicles. Keep the Critical item column for faults that should keep a vehicle off the road.

How is the safe-to-drive result worked out?

The sheet counts the results and shows the first message that applies:

Any critical defect → Do not drive: fix the critical defects first Any check left empty → Inspection not complete Any other defect → Can drive: report the defects Otherwise → Safe to drive

In the example, the washer fluid is empty and every critical check is OK, so the result is "Can drive: report the defects".

Defect log and target days to fix

Each defect gets a severity. Days open count from the report date to the fix date, or to today while the defect is open. A defect is overdue when it stays open longer than the target for its severity:

Days open = date fixed − date reported (or today − date reported) Status = Closed if fixed · Overdue if days open > target days · otherwise Open Default targets: critical 1 day, major 3 days, minor 14 days

Summer heat readiness and vehicle handover

Hot weather is hard on cooling systems, batteries, tires and drivers. The Heat readiness sheet lists ten checks to run before the hot season and repeat monthly during it. The Handover form records the odometer, fuel level, damage and the items handed over each time a vehicle changes driver, so new damage can be traced to the right shift.

Limits of a paper or Excel inspection

A checklist only works if it is done honestly every time. It does not replace the vehicle maker's service schedule or the inspection rules in your country. The workbook does not check that the inspection happened before the trip; that depends on your process and supervision.

What should a pre-trip vehicle inspection include?

Tires and wheels, lights, mirrors and windscreen, fluids and leaks, brakes, steering, seat belts and horn, warning lights, safety equipment, documents, and the load and coupling on trucks. This template lists 29 checks in walk-around order.

How long does a pre-trip inspection take?

Usually 10 to 15 minutes for a van or truck once drivers know the order. Keeping the same order every day makes it faster and harder to skip a check.

What is a critical defect?

A fault that should keep the vehicle off the road until it is fixed, such as a brake light out, a damaged tire or a seat belt that does not work. The template marks 17 checks as critical; you can change them.

Who should fix a defect, and how fast?

The defect log records the owner and the date fixed. By default a critical defect should be fixed within a day, a major one within 3 days and a minor one within 14 days. Change these targets on the Settings sheet.

Should drivers also inspect after the trip?

A post-trip check finds faults that appeared during the day while the driver still remembers them, so the next driver does not start with a problem. The same checklist works for both.

Can I use the checklist on a phone or tablet?

Yes. Open the file in Excel or Google Sheets on a tablet and choose the results from the dropdowns, or print the sheet on one page.

Does the template work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. It also works in Excel and LibreOffice Calc, with no macros.

Does this replace the legal vehicle inspection?

No. It is a daily check by the driver. Periodic inspections required in your country and the maker's service schedule still apply.
