What is a fleet tracking business case deck?
A fleet manager knows why the fleet needs tracking, but the decision sits with management and finance. They ask three questions: how much do we spend today, how much will we save, and when do we get the money back? This deck answers all three with your company's figures, not general ones.
The deck holds no ready-made statistic or assumed savings rate. Every number is a field you fill from your accounts or from a calculator you can re-run in front of management.
Fleet tracking business case slides, in order
- Why we need a vehicle tracking system: title, company name, number of vehicles and presenter.
- The decision we ask for today: the request in one sentence and 3 numbers. You fill it last.
- What we cannot see today: vehicle location, fuel, use and safety, with an example from your fleet.
- Last year's costs: fuel, maintenance and tires, accidents and claims, fines, overtime and replacement rentals.
- Figures from Safee's calculators: annual return, cost of the offer over the contract, and fuel and idling cost.
- Expected savings: for each item the current cost, the saving rate you assume and the annual saving.
- System cost: devices, installation, accessories, integration and training once; subscription, SIMs, device upkeep and team time every year.
- When does the system pay for itself? Three formulas and three results.
- Risks: driver objections, installation delays, data quality, lower savings, authority requirements and low use.
- Rollout plan in 30 days: prepare, install, train and connect, go live, first report.
- Today we ask for: budget, project owner, pilot and review date.
- How to fill in this deck: guidance for you, deleted before presenting.
How to fill in the business case deck, step by step
- Collect last year's costs from the accounts and enter them on slide 4 with the source of each figure. Do not estimate here.
- Run the Fleet Management ROI Calculator with these costs and the saving rates you accept, and copy the results to slides 5 and 6.
- Compare provider offers in the GPS Tracking Cost Calculator and copy the chosen offer to slide 7.
- Work out payback with the formulas on slide 8, including the half-savings case.
- Fill in the plan on slide 10 with the start date and project owner, and detail it in the Tracking System Rollout: 30-Day Plan.
- Fill slide 2 last, replace every text in brackets, and delete slide 12.
How to calculate the payback period of a tracking system
These are the formulas on slide 8. Annual savings is the total on slide 6; the one-off cost and annual cost come from slide 7.
If annual savings are lower than the annual cost, there is no payback: under these assumptions the project does not cover its cost.
Worked example: payback in 10 months
Example figures you replace with your own: a one-off cost of $60,000, an annual cost of $48,000 and expected annual savings of $120,000.
- Net monthly saving = (120,000 − 48,000) ÷ 12 = $6,000.
- Payback = 60,000 ÷ 6,000 = 10 months.
- 3-year net = 3 × 72,000 − 60,000 = $156,000.
- If only half the savings happen ($60,000): net monthly saving (60,000 − 48,000) ÷ 12 = $1,000, and payback is 60 months.
The last case shows how sensitive payback is to the saving rates. So show the rates you assumed, and agree with management to review them 3 months after go-live.
Common mistakes in a fleet tracking business case
- Saving rates with no source. A rate you heard from a provider is not a figure about your fleet. Write your own rate and say why you find it reasonable.
- Forgetting the annual cost. The subscription and team time recur every year; leaving them out shortens payback on paper only.
- No baseline. Without last year's costs you cannot prove after go-live that the savings happened.
- A deck with no specific request. End on a clear decision: an amount, an owner and a date, not "we recommend studying the matter".
- Ignoring the drivers. Their objection is a real risk to the project. Put the briefing and notice in the plan from the start.
What the deck does not cover
The deck is a general template, not any provider's pitch, and it promises no savings rate. Its results are only as accurate as the figures you enter. If your activity requires vehicles to be linked to a government platform, check the current requirement with the competent authority before signing, and add its cost to slide 7.
