What does a GPS tracking system cost?
A fleet tracking offer is rarely one price. Most quotes combine a device you buy or rent, installation per vehicle, a SIM or data plan, a monthly software subscription and sometimes a one-off fee for setup and training. Two offers with the same monthly fee can end up thousands apart once the upfront items and the contract length are added.
This GPS tracking cost calculator puts up to three offers side by side. It adds every item over each offer's contract to give the total cost of ownership, the cost per vehicle per month, the split between upfront and monthly cost, the cheapest offer and the month when buying devices becomes cheaper than renting them. Its second tab is a payback scenario: the savings you expect each month against what the offer costs.
Why compare the total cost, not the monthly fee?
- Upfront items change the ranking. Device purchase, installation and setup are paid once, but on a short contract they add a lot to each month.
- Contract length matters. A lower rate tied to a longer commitment only saves money if you stay that long. Cost per vehicle per month puts offers with different terms on the same basis.
- Buy or rent is a timing question. Buying costs more at the start and less each month. The break-even month shows when it starts to pay off.
- Finance needs one figure. The total cost over the contract is what goes into the budget and the purchase approval.
What you need to compare tracking offers
| Input | Where to find it | Tip |
|---|---|---|
| Vehicles to track | Your fleet list | Use the same number for every offer. |
| Device purchase or rental | Vendor quote | Enter one of the two. Use 0 if the device is included in the subscription. |
| Installation | Vendor or installer quote | Per vehicle. Ask whether removal and re-installation are charged. |
| SIM and data | Vendor quote or your telecom plan | Enter 0 when data is included in the subscription. |
| Subscription | Vendor quote | Per vehicle per month, for the features you actually need. |
| Setup and training | Vendor quote | One-off fees for the whole fleet, such as onboarding, configuration and training. |
| Contract length | Vendor terms | The minimum commitment in months. |
| Expected savings | Fuel, overtime and maintenance records | Payback tab only. Use modest figures you can defend. |
How is the total cost of a fleet tracking offer calculated?
Upfront and monthly cost
Total cost of ownership and cost per vehicle
The cheapest offer is the one with the lowest cost per vehicle per month, so offers with different contract lengths compare on the same basis.
Break-even between buying and renting
It applies when offer X costs more upfront and less each month. Before that month, offer Y has cost less in total; after it, offer X has. If offer X also costs more each month, it never catches up.
Payback
Worked example: three tracking offers for 50 vehicles
A fleet of 50 vehicles has three quotes.
- Offer A, buy devices: device 450 and installation 100 per vehicle, SIM 15 and subscription 60 a month, setup 2,000, 36 months. Upfront 50 × 550 + 2,000 = 29,500; monthly 50 × 75 = 3,750; total 29,500 + 3,750 × 36 = 164,500, or 91.39 per vehicle per month.
- Offer B, rent devices: rental 25, installation 100, SIM 15 and subscription 55, no setup fee, 36 months. Upfront 5,000; monthly 4,750; total 176,000, or 97.78 per vehicle per month.
- Offer C, all-inclusive: 95 per vehicle per month and setup 1,500, 24 months. Total 1,500 + 4,750 × 24 = 115,500, or 96.25 per vehicle per month.
- Offer A is the cheapest, 4.86 per vehicle per month below Offer C, or about 8,750 over its 36 months. Buying (A) becomes cheaper than renting (B) after (29,500 − 5,000) ÷ (4,750 − 3,750) = 24.5 months, so over 36 months buying saves 11,500.
- Payback for Offer A: a fuel spend of 60,000 a month × 5% = 3,000, plus 40 overtime hours × 35 = 1,400, plus 800 in maintenance gives savings of 5,200 a month. After the 3,750 monthly cost that leaves 1,450, so the 29,500 upfront pays back in about 20.3 months. Over 36 months the net value is 5,200 × 36 − 164,500 = 22,700.
How to read your results
- Cost per vehicle per month is the fairest single figure for ranking offers. Check that each offer covers the same features and service level.
- Upfront share shows how much you pay before the system has done anything. It matters when cash or approval limits are tight.
- A break-even month after the contract ends means renting costs less for the term you sign.
- Payback longer than the contract means the savings you entered do not cover the cost within the term. Revisit the assumptions or the offer.
Common mistakes when comparing GPS tracking prices
- Comparing monthly fees only. Devices, installation and setup can be a large part of the total.
- Mixing prices with and without VAT. Enter every offer on the same basis.
- Ignoring the contract length. A cheaper rate on a longer term is only cheaper if you stay for the whole term.
- Forgetting fleet changes. Vehicles sold or replaced during the contract may need de-installation and re-installation.
- Counting optional extras as standard. Sensors, cameras and driver ID are often priced separately. Compare like with like.
- Using optimistic savings. A payback built on fuel savings that nobody has measured will not survive a finance review.
Assumptions and limits
Results are estimates based on the values you enter. Prices are assumed fixed for the whole contract; annual increases, discounts, financing costs, taxes and the value of devices at the end of the contract are not included. The payback tab is a scenario: savings depend on how the system is used and are not promised by Safee or any other vendor. The tool contains no vendor prices, including Safee's. Confirm every figure with a written quote.
