What is a water and sewage tanker trip log?
A tanker trip log is a daily record of where each tanker loaded, how much it carried, where and when it discharged, and who drove it. A municipality or a customer may ask for these records, especially from sewage tanker operators, to show that each load reached an approved discharge site.
This template adds a check a paper log cannot do: it compares each trip with what the tracking system shows for the same tanker at the same time. If the driver wrote that he discharged at the station and tracking does not show the tanker there, the trip shows Mismatch.
How to use the tanker trip log
- Set up Settings: tankers with capacity, loading points and discharge sites with approval status, and what each cargo type requires.
- Log every trip from the loading or discharge receipt or the driver's daily sheet.
- Copy the tracking data: open the trip report or the geofence entry and exit report, mark whether the tanker was at both sites, and copy its arrival time at the discharge site.
- Review every trip marked Review and write the action in Notes.
- Print the summaries at the end of the day or month and attach them to your report to the municipality or customer.
How the log checks each trip
In the example file, tanker ST-01 logged trip T-1006 as discharged at the south discharge station at 12:10, and tracking shows it arriving at 12:55. The gap is 45 minutes, more than the example tolerance of 30 minutes, so the trip shows Mismatch. On trip T-1005 the tanker carried 22 m³ with a 20 m³ tank, the discharge site is not in the list, and tracking does not show it at the discharge site. Of six trips on 14 October carrying 126 m³, three need review.
Matching tanker trips with tracking data
You fill the three tracking columns from the tracking system, not from the driver: was the tanker at the loading point, was it at the discharge site, and when did it arrive there. The easiest source is the geofence entry and exit report, once you draw a geofence around each approved station.
The time tolerance is a value you choose in Settings; the 30 minutes in the file is an example. If you leave both tracking columns blank, the trip shows Not checked, so the summary tells you how many trips are still unmatched.
Approved loading points and discharge sites
You enter each site once in Settings with its role (loading or discharge), approval status and permit number. Then you set for each cargo type whether it needs an approved loading point, as with potable water, or an approved discharge site, as with sewage. A water delivery to a customer does not need the customer in the list, so its check shows Not required.
Check your municipality's current requirement
The municipality or competent authority decides which filling points and discharge sites are approved, which records it asks for, and whether a tracking device or tracking data is required. This template does not state any of these requirements, and its sites and settings are examples. Check your municipality's current requirement, your permit conditions and your contracts, and enter them in Settings.
Limits of the template
The template checks what you enter. It does not read tracking data by itself, does not measure the volume in the tank and does not prove what was discharged. Quantities come from the meter, the receipt or the tank level; if a figure is an estimate, say so in Notes.
