Operation Cost

In Arabicكلفة التشغيل

In short

The costs that come from using a vehicle, such as fuel, maintenance, tyres and oil, rising the more it works, unlike ownership costs such as purchase and insurance.

What is operation cost in fleet management?

A vehicle's costs fall into two groups. Ownership costs are paid even if it never moves: depreciation or lease, insurance and registration. Operating costs come from the work itself: fuel, maintenance and repairs, tyres and oil, and many fleets include driver wages.

Leaving wages aside, fuel is usually the largest item. Because operating costs move with distance, they are normally tracked per kilometre or per 100 km.

How it works

  1. 1Record spending per vehicle
  2. 2Link it to distance driven
  3. 3Compare vehicles, branches and periods

Why does operation cost matter in fleet management?

Operation cost is the part management can influence every day. Excess idling, harsh driving and deferred maintenance push it up directly, and a small difference per kilometre becomes a large sum in a fleet covering millions of kilometres a year. Without tracking it per vehicle you cannot tell which vehicles or routes are draining money.

What you gain

  • Shows the costliest vehicles
  • Reveals the cost of idling and harsh driving
  • Basis for pricing transport work

How does Safee help you track operation cost?

Safee's Operation Cost report links each vehicle's agreed cost per 100 km to the actual distance of every trip and adds fuel cost from measured consumption and the price per litre. You get the cost of each trip and vehicle without spreadsheets, and see where spending rises before it reaches the year-end accounts.

A field example

Riyadh · Building materials

A building-materials supplier in Riyadh charged a flat delivery rate per tonne. Tracking and fuel data showed that trips to sites south of the city burnt about 40% more fuel per kilometre and kept trucks waiting twice as long, because of dirt roads and slow unloading. The company added a surcharge for those sites, and its delivery margin improved 9% within two months.

Frequently asked questions

What goes into fleet operating costs?

Costs that rise with use: fuel, maintenance and repairs, tyres and oil, and in many fleets driver wages. Purchase, finance and insurance count as ownership costs.

How is operation cost different from total cost of ownership?

Operation cost is one part of TCO. TCO adds purchase or lease, finance and insurance, and subtracts resale value at the end of the vehicle's life.

How can I reduce fleet operating costs?

Start with fuel: cut idling and watch speeding and harsh driving. Then keep preventive maintenance on schedule, because breakdown repairs cost far more than planned servicing.
