What does a school bus inspection checklist cover?
A school bus carries children, so a missed defect or an expired document matters more than on any other vehicle. This checklist puts the daily pre-trip check on one printed form: whether the driver may drive, whether the bus may run, whether its equipment, tracking and cameras work, and whether every student got on and off safely.
It is a working aid, not legal advice and not an official Transport General Authority (TGA) form. Items tagged [TGA] follow TGA requirements as reported up to October 2026. Confirm the current regulation, your license conditions and your school's policy, and edit the items to match.
What does the TGA require for school transport?
We could not open the official text of the current educational transport regulation, so the points below come from TGA statements as reported in the Saudi and Gulf press. Each is listed with its date in Appendix A of the document.
| Area | Reported requirement | Reported |
|---|---|---|
| Driver | At least 25 years old; TGA driver card; valid license; no criminal record; approved first aid course; TGA medical examination; professional competence test and any other TGA training | Aug 2024, Sep 2025 |
| Driver duties | Quick daily safety check; doors closed while moving; no phone or eating while driving; approved uniform; do not leave before students enter school or home | Aug 2024 |
| Bus | Maximum 12 years from manufacture; yellow; "educational bus" sign; STOP arm on both sides; periodic inspection; valid insurance | Sep 2025 |
| Markings | Yellow plate; customer service number; license, operating card and bus numbers front and rear | Aug 2026 |
| Tracking | Tracking device fitted; live location; route data kept at least six months; tamper alert | Jan 2023, Aug 2024 |
| Cameras | Onboard cameras reported as required in one August 2024 report; not mentioned in others | Aug 2024 |
| Attendant | For elementary students or younger: an attendant aged 18 or over with no criminal record | Sep 2025 |
| Trip | Confirm no student is left on board after each trip; no refueling with students on board | Sep 2025 |
Limits such as the driver age of 25 and the bus age of 12 years are written into the checklist as defaults you can change.
How to use the school bus checklist
- Print one copy per bus per day and fill in the trip details before the first trip.
- Check the driver: documents and fitness for duty.
- Check the bus: documents, markings, walk-around, safety equipment, tracking and cameras.
- Run boarding checks with the attendant and record student counts.
- Walk the bus after every trip and confirm no student is left on board.
- Record defects and sign: fit to operate or not fit, then file the sheet.
The fit-to-run rule
The ★ items are the template's suggested stop items, such as a valid driver card, a working STOP arm, a charged fire extinguisher, a live tracking device and the final walk-through. Adjust the list to your own policy.
Worked example: a morning check
At 06:10 the driver of bus 14 finds the fire extinguisher gauge in the red and the tracking device showing no live location. Both are ★ items, so the supervisor ticks Not fit, sends the spare bus and records two defects in Section 9: extinguisher replaced at 06:40, tracker power fuse replaced the same afternoon. On the spare bus the left mirror is loose, a non-★ item: it runs, and the defect is logged for repair after the morning route.
Common mistakes in school bus checks
- Ticking from the driver's seat. STOP arms, lights and tires can only be checked from outside the bus.
- Checking documents once a term. A driver card or operating card can expire mid-term. Write expiry dates in the notes column.
- Trusting the tracker light. A powered device is not proof of tracking. Check the live location on the platform.
- Skipping the final walk-through on short trips. The TGA requirement applies after every trip.
- Signing a Not OK without an action. Every defect needs an owner and a fix date.
Limits of a paper checklist
A paper form records what was checked, not what happened during the route. It cannot alert anyone when the bus speeds, stops off-route or a camera goes offline. Keep the completed sheets for as long as your contract or school policy requires; we could not confirm a TGA retention period.
Open questions to confirm with the TGA
- The full text of the current educational transport regulation (2025) and the bus technical specification.
- Whether cameras are mandatory for every bus class, and how long recordings must be kept.
- The required safety equipment list and inspection intervals.
- Validity periods for the medical examination and the first aid certificate.
- Whether a written daily inspection record must be kept, and for how long.
Verify current requirements with the TGA before you rely on any item.
