What's inside

What's inside the tracking rollout kick-off deck?

    Reason and summary

Title slide, the project in three numbers, then four reasons for the system with a field for a real situation from your work.

  2. 02

    What the system records

A table of location and speed, engine on and off, driving events, driver identity, sensors and cameras, with a column for what is actually fitted in your vehicles.

  3. 03

    What changes for each team

Four columns for drivers, dispatch, the workshop and management, plus a slide on what drivers must do and what does not change.

  4. 04

    Installation, phases and training

An installation chart with editable data, the 30-day phases up to the first report, and a training table for each group.

  5. 05

    Privacy and questions

What the data is used for and not used for, who can see it, how long it is kept, and six questions staff usually ask.

  6. 06

    Contacts and this week's actions

A table of who handles each topic, then four requests with dates. Every slide has speaker notes.

Why hold a kick-off meeting for a tracking rollout?

When tracking devices are fitted without explanation, drivers hear about them from each other, and some assume they are for watching and punishing. Dispatchers are slow to use the platform because nobody told them what changed in their work. One meeting before installation prevents this.

This deck is for that meeting. It speaks to all teams at once: drivers, dispatchers, supervisors, the workshop and management. It makes no claim about any device or provider: everything about what is recorded and about your policy is a field you fill from your own company.

Tracking rollout kick-off slides in order

  1. We are starting our vehicle tracking system: company name, number of vehicles, installation start date and presenter.
  2. The project in three numbers: installation start, number of vehicles and full go-live date.
  3. Why we are starting a tracking system: location without a phone call, driver safety, maintenance on time and a proven trip record.
  4. What the system records: each data item, when it is recorded, what it is used for and whether it applies to you.
  5. What changes for each team: three points each for drivers, dispatch, the workshop and management.
  6. What we ask of you as a driver: five steps, what does not change, and a warning not to tamper with the device.
  7. Device installation schedule: a chart of vehicles per week, and what happens on installation day.
  8. From kick-off to the first report in 30 days: preparation, pilot and installation, training, go-live and the first report.
  9. Who is trained, and when: six groups with content, duration and date.
  10. How we use the data: uses and limits, who can see it, retention period and the contact for questions.
  11. Questions teams usually ask: six questions with answers; some answers are fields from your company policy.
  12. Whom to contact: owners for faults, installation, login, alerts, privacy and training.
  13. What we need from you this week: four requests with dates, and the project owner's details.
  14. How to prepare this deck: guidance for you to delete before the meeting.

How to prepare the kick-off presentation step by step

  1. Take dates and owners from the Tracking System Rollout: 30-Day Plan and enter them on slides 2, 7 and 8.
  2. Ask the provider exactly what your installed devices record, and fill in the "Ours?" column on slide 4. Do not list data your devices do not record.
  3. Edit slides 5 and 6 to match your procedures, your vehicle use policy and the speed limit you set.
  4. Fill slide 10 from the approved privacy policy and the Driver Tracking and Camera Notice Template, and review it with your legal adviser.
  5. Update the installation chart on slide 7: right-click the chart, choose "Edit Data" and enter the number of vehicles per week.
  6. Enter contact names and numbers on slide 12, replace every text in brackets, and delete slide 14.

How to work out installation days and training sessions

You need two numbers before the meeting: how many days installation takes, and how many briefing sessions drivers need. Ask the installer how many vehicles one technician fits per day; it depends on the vehicle type and accessories.

Vehicles per day = technicians × vehicles per technician per day Installation days = vehicles ÷ vehicles per day (round up) Driver briefing sessions = drivers ÷ seats per session (round up)

Add a day or more to installation for vehicles that are not available on time, and for vehicles re-checked after acceptance.

Worked example: 40 vehicles and 44 drivers

Example figures you replace with your own: 40 vehicles, 2 technicians, each fitting 4 vehicles a day, 44 drivers, and a room for 15 drivers.

  • Vehicles per day = 2 × 4 = 8 vehicles.
  • Installation days = 40 ÷ 8 = 5 working days.
  • Briefing sessions = 44 ÷ 15 = 2.9, so 3 sessions.

In the deck, the chart on slide 7 spreads the 40 vehicles over the weeks: 4 for the pilot, then 12, 16 and 8. Change the split to match when vehicles are free at each site.

Common mistakes when introducing a tracking system to staff

  • Installing before the meeting. Drivers find the device in their vehicle first, and the project starts with suspicion.
  • Promises the company does not keep. Do not say "we do not track you after hours" unless your policy says so.
  • Hiding what is recorded. If the cameras record audio, say so in the meeting. Finding out later destroys trust.
  • A meeting for drivers only. Dispatch and the workshop change how they work too, and they use the platform every day.
  • No owner for faults. If drivers do not know whom to call when a device fails, they will not report it.

What the deck does not cover

The deck is a general template. It does not describe any provider's device and it is not legal advice. What may be recorded, how long it is kept and what rights drivers have depend on the privacy and labour rules that apply to you. Check your authority's current requirement, and review the text with your legal adviser before the meeting.

Questions about the tracking rollout kick-off deck

Getting ready to run Safee in your fleet? Talk to Safee.

How do I introduce a vehicle tracking system to employees?

In one meeting before installation, attended by everyone whose work changes: drivers, dispatchers, supervisors, the workshop and management. Explain why you are starting the system, what it records, what each team must do and when, and whom to contact. That is the order of this deck.

When should I hold the kick-off meeting?

In the first week of the project, before any device is fitted. In the 30-day rollout plan the meeting falls on days 1 and 2, and driver briefings between days 12 and 21.

What should I tell drivers about privacy?

Exactly what your installed devices record, what the data is used for, who can see it, how long it is kept, and whom drivers can ask. Do not promise what your company policy does not say, and put it in writing in a notice each driver signs.

Does the deck replace a written tracking notice?

No. The deck is for explaining in the meeting; the notice is a written document each driver reads and signs. Use the Driver Tracking and Camera Notice Template and review it with your legal adviser.

How do I edit the installation chart?

The chart on slide 7 is a native PowerPoint chart. Right-click it, choose "Edit Data", and type the weeks or sites and the number of vehicles for each.

Can I edit the slides and colors?

Yes. All text, shapes and tables are editable. Add your logo, change the colors, and delete what you do not need, such as the column of a team that is not at the meeting.

Does the deck work in Google Slides?

Yes. Upload the .pptx file to Google Drive and open it in Google Slides. It also opens in Keynote and LibreOffice Impress, with small font differences depending on the fonts installed.

Next step

After the meeting, accept every device with a checklist

When installation starts, check each vehicle with the GPS Tracker Installation Acceptance Checklist before you sign, and track the tasks in the 30-day rollout plan.
