Driver Training Matrix

A sheet with drivers in rows and courses in columns. You enter the date each course was completed; the file works out the due date from the course validity and colors every cell: valid, due within the alert window, expired or not recorded. Each row ends with the driver's training completion rate and next renewal date.

What is in the driver training matrix template?

You type on two sheets only: the courses with their validity, and the completion dates. Everything else is calculated by formulas.

  1. 01

    Courses

Up to 12 courses, each with a category, validity in months (0 for a course that does not expire), who needs it and the provider.

  2. 02

    Completion dates

One row per driver for up to 100 drivers: name, employee ID, branch, category and hire date, then the last completion date of each course, or N/A.

  3. 03

    Matrix

The status of every course for every driver in color, then counts of expired, due and unrecorded courses, the complete %, the next due date and an overall status.

  4. 04

    Due dates

Completion date plus validity, in the same colors, so you can book upcoming courses.

  5. 05

    Summary

Whole-fleet figures, a table per course and a chart of the complete % by course.

  6. 06

    Settings and How to use

Report date and alert window, branch and driver-category lists, and an explanation of the rules used.

What is a driver training matrix?

A driver training matrix is one table that answers two questions: has each driver completed the courses they need, and when does each course expire? Drivers are the rows, courses are the columns, and each cell shows that course's status for that driver.

Fleets need one because training differs between drivers. A tanker driver needs a dangerous goods course and a delivery driver does not. Some courses are taken once; others are repeated every year or two. The matrix puts all of this in one place, so the supervisor sees who needs a course before it lapses and has a clear record for a customer audit or a safety review.

If you track training certificates alongside licenses and residence permits in the Driver Document Expiry Tracker, the matrix gives you the training detail: course by course, for every driver.

How do you use the driver training matrix in Excel?

  1. List your courses on the Courses sheet with each one's validity in months under your company policy. Enter 0 for a course that does not expire.
  2. Check the settings: leave the report date empty to use today, and change the alert window if you wish (30 days in the file).
  3. Delete the example rows on Completion dates and add one row per driver.
  4. Enter the last completion date of each course from the certificate or attendance sheet. Enter N/A if the course does not apply to that driver, and leave the cell empty if it is required but not done yet.
  5. Open the Matrix every week. Filter Overall on Urgent, then book the courses that are due from the Due dates sheet.
  6. Update the date after every course as soon as the certificate arrives, and the cell returns to Valid.

Which courses and validity periods are in the template?

The file comes with ten example courses from a sample company policy. Change the names, periods and who needs each course to match your policy and your customers' requirements.

CourseValidity in the exampleRequired for
Company induction and driving policyNo expiryAll drivers
Defensive driving24 monthsAll drivers
Daily vehicle check12 monthsAll drivers
First aid24 months, or as on the certificateAll drivers
Fire safety and extinguisher use12 monthsAll drivers
Fatigue and driving hours24 monthsAll drivers
Driving in heat and dust12 monthsAll drivers
Load securing24 monthsHeavy transport
Dangerous goods transport24 months (example value)Tanker drivers
Driver app and tracking systemNo expiryAll drivers

The periods in the table are examples, not official requirements. Courses an authority requires, such as dangerous goods transport or certified first aid, have a period set by that authority or by the certificate itself, so check the current requirement with the relevant authority in your country and enter it on the Courses sheet.

How are due dates and training status calculated?

Due date = EDATE(completion date, validity in months) Status = N/A if N/A is entered = Not recorded if the cell is empty = Expired if the due date is before the report date = Due in N days if the due date falls within the alert window = Valid otherwise, or if validity is 0 Complete % = (valid + due soon) ÷ required courses Overall = Urgent if any course has expired = Follow up if any course is due soon or not recorded = Complete otherwise

The report date is today by default, so statuses update every time you open the file. Enter a fixed date in Settings to see the position on a given day, before an audit for example. A course that is due soon is still valid, so it counts toward the complete %, but it sets Overall to Follow up so you book it in time.

Worked example: eight drivers on 19 October 2026

Khalid Mansour drives a tanker, so all ten courses apply to him. He completed defensive driving on 30 September 2024 with 24 months' validity, so it fell due on 30 September 2026 and is now expired. He completed dangerous goods transport on 5 November 2024, so it is due on 5 November 2026, 17 days away, inside the alert window.

  • His courses: 6 valid, 1 due soon and 3 expired (defensive driving, first aid and fire safety).
  • Complete %: (6 + 1) ÷ 10 = 70%, Overall is Urgent, and the next due date is 30 September 2026.
  • Across the eight drivers: 69 required courses, of which 46 are valid, 3 due soon, 10 expired and 10 not recorded, so the complete % is (46 + 3) ÷ 69 = 71%.
  • Three drivers need urgent action. Fahad Al-Shammari, hired on 5 October 2026, has 5 courses not recorded, which is his training list for his first month.

Common driver training tracking mistakes

  • Typing the date as text, such as "March 2026", so no due date is calculated. The cell accepts a date or N/A.
  • Leaving a cell empty for a course that does not apply. Enter N/A, so empty cells always mean a real gap.
  • Entering the booking date instead of the completion date. Use the date on the certificate.
  • One validity period for every course. A course an authority requires has its own period; do not assume it matches your in-house courses.
  • A separate file per branch. One file for the fleet, with a branch column and a filter, stops a driver who moved branches from being missed.

Limits of the template

The matrix only knows the dates you enter, so it is as accurate as its last update. It does not verify certificates with training providers and does not send reminders, so someone has to open it regularly. The courses each driver needs depend on the activity, the vehicle and the customer, so check the current requirements with the relevant authority in your country and with your customers. This template is a tracking tool, not legal advice.

Questions about the driver training matrix

Want to link training to recorded driving behavior? Talk to Safee.

What is a driver training matrix?

A table with drivers in rows and courses in columns. Each cell shows that course's status for that driver: valid, due soon, expired, not recorded, or not applicable.

How is a course due date calculated?

By adding the validity in months to the completion date with the EDATE function. Defensive driving completed on 30 September 2024 with 24 months' validity is due on 30 September 2026. A course with validity 0 does not expire.

How long are driver training courses valid?

Your company policy sets the period for in-house courses; the relevant authority or the certificate sets it for certified courses. The periods in the template are examples only, so check the current requirement with the relevant authority in your country before you rely on them.

Can I add courses or change the alert window?

Yes. The Courses sheet has room for twelve courses, and their names appear as column headers automatically. The alert window is on the Settings sheet, and statuses, colors and counts follow it.

What is the difference between Not recorded and N/A?

Not recorded is a required course with no completion date, so it counts as a gap. N/A is a course the driver does not need, so it is left out of the complete %.

How do I show training status at a safety meeting?

Print the Summary sheet. It shows drivers and required courses, valid, due, expired and unrecorded counts, the complete %, the number of drivers needing urgent action, and a table and chart per course.

Does the template work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it in Google Sheets. It also works in Excel and LibreOffice Calc, with no macros.
