Business Calendar

In short

A company's set working days and hours, weekends and public holidays, which let the fleet platform tell driving during work from driving out of hours and on days off.

What is a business calendar in fleet management?

A business calendar sets when the company works: the working days, the start and end of the working day, the weekend and the public holidays. Gulf fleets often need more than one: the weekend is Friday and Saturday in Saudi Arabia and Oman, the UAE moved its official weekend to Saturday and Sunday in 2022, and the two Eids move every year because they follow the Hijri calendar.

In a tracking system the calendar is the reference for every report that asks whether a vehicle was used during work or outside it, so it has to match how each site really works.

How it works

  1. 1Working days, hours and holidays defined
  2. 2Calendar assigned to company, site or vehicle
  3. 3Distance split into work and off-time periods

Why does a business calendar matter in fleet management?

Without a calendar, the system cannot know that a truck moving on a Friday is unusual for one branch and normal for another, or that a public holiday is not a working day. Reports then mix normal work with misuse: they either hide personal use or flag legitimate shifts until people stop reading them.

What you gain

  • Personal use measured, not guessed
  • Fair rules for each site's hours
  • Reports that match real work

How does Safee help you set up and use a business calendar?

Each Safee calendar holds a time zone, weekend days, working hours, yearly holidays and holidays for a specific year, such as the Eids. It can be assigned at any level, from the whole company to a single vehicle, with the lower level taking priority. The Calendar Mileage Report then splits each vehicle's distance, driving time and idle time into working hours, out of hours, weekends and public holidays.

A field example

Abha · Telecom tower maintenance

A telecom tower maintenance contractor in Abha runs 70 pick-ups. It set up a calendar of Sunday to Thursday, 7 am to 5 pm, with the Friday and Saturday weekend, Saudi National Day and that year's Eid holidays, and gave its 12 on-call vehicles a calendar of their own. The first Calendar Mileage Report showed 9,600 of 80,000 km a month, 12%, driven outside working time, 6,000 km of it by 11 vehicles. After a written personal-use policy and weekly reviews, the share fell to 4% within two months.

Frequently asked questions

Why does a calendar need a time zone?

Because a fleet may span more than one country: Saudi Arabia is on UTC+3, while the UAE and Oman are on UTC+4. Without the right zone, a trip at the start or end of the day can land on the wrong side of working hours.

How is a business calendar different from an out-of-hours driving alarm?

The calendar describes when the company works and underpins reporting across all periods. An out-of-hours driving alarm is a rule with its own time window that fires the moment a vehicle moves outside it.
