What is a driver tracking and camera notice?

A driver tracking notice tells drivers, in writing, what the tracking device and cameras in their vehicle record and how the company uses that data. It is not a contract and not a policy. It is a plain explanation the driver keeps, with an acknowledgment the company files.

Drivers usually know the vehicle is tracked. What they often do not know is whether the camera records the cabin, whether there is audio, who watches the video and how long it is kept. A clear notice answers those questions before a review or an incident raises them.

What a vehicle tracking notice to drivers should cover

  • What is recorded: only the data your devices actually send, and when (ignition on, working hours, events).
  • Why: the purposes your company has, and anything the data will not be used for.
  • Who can see it: each role, what it sees, and when data leaves the company.
  • How long it is kept: a period for each data type, and what happens after.
  • Rights and contacts: who answers questions and requests, and how fast.
  • Driver rules: no tampering, and how to report a faulty device or camera.

Section 11 of the company vehicle and driver policy template sets the policy rule on tracking. This notice gives the driver the details.

How to issue the notice step by step

  1. List what your devices record. Ask your tracking provider for the data each device and camera sends, then tick section 2.
  2. Decide purposes, access and retention with your operations, HR and legal adviser, and write them in sections 3 to 5.
  3. Complete the contacts and rights in section 7 after the legal review.
  4. Explain it in person. Give each driver the notice in a language they read well and show them the cameras in the vehicle.
  5. Collect the acknowledgment on page 4. One copy to the driver, one to the driver file. New drivers sign it during onboarding, next to the documents in the driver onboarding and compliance pack.
  6. Reissue when something changes: a new camera, a new sensor or a new use of the data.

Dashcams and cabin cameras: what to tell drivers

A road-facing camera records the road ahead. A driver-facing camera records the cabin, and drivers ask the most questions about it. Section 2 has a row for each, with continuous or event-only recording, the clip length, fatigue or distraction alerts and whether a microphone is on.

Be exact. If the cabin camera only saves a clip after harsh braking, say so and give the seconds before and after. If audio is off, say it is off. Section 6 lets you commit that cabin video is viewed only after an event, an alert or a complaint, and section 9 gives short text for a sign inside the cab.

How to set retention periods for tracking data and video

The template does not suggest periods. Your company sets them with its legal adviser, based on the law that applies, claim and complaint deadlines, client contracts and storage. Each row in section 5 has three parts:

Kept for = [___ days or months] set by your company after legal review Then = deleted, or driver identity removed Kept longer when = the data is linked to an accident, claim or investigation

Video needs far more storage than location data. To size memory cards and cloud storage for a retention period, use the fleet camera storage and data calculator.

This template is not legal advice. Privacy, data protection and employment rules differ between countries, and sometimes between sectors and free zones. The template does not say what any law requires, and completing it does not make your notice compliant.

Before you issue it, ask your legal adviser which law applies to your drivers and their data, whether you need a notice, an acknowledgment or consent, how long you may keep each type of data, what rights drivers have and how to answer their requests. The signed acknowledgment confirms that the driver received and understood the notice. It is not, by itself, consent.

Common mistakes with tracking notices

  • Listing data the device does not record. A notice that does not match the vehicle loses drivers' trust.
  • Leaving the cabin camera out. It is the part drivers care about most.
  • No retention period. "As long as needed" tells the driver nothing. Write a number for each data type.
  • Using the data for a new purpose without telling drivers. Update and reissue the notice first.
  • Calling the acknowledgment consent. It confirms receipt. Ask your legal adviser whether consent is needed.
  • Filing the notice and forgetting it. Review it when devices, cameras or uses change.

What the template does not cover

It is a notice for drivers, not a full privacy policy, a data processing agreement with your tracking provider or a policy on customer data. It does not cover passengers beyond a line about telling them a camera is fitted. Whether a sign is required in the vehicle is a local rule, so check your authority's current requirement. Use the template as a starting point and adapt it with your legal adviser.

FAQ

Questions about the driver tracking notice

Planning tracking or cameras for your fleet? Talk to Safee.

Do I have to tell drivers their vehicle is tracked?

That depends on the law that applies to your company and drivers, so ask your legal adviser. Even where it is not required, a written notice helps avoid disputes later, because drivers know what is recorded before any review uses it.

Is the signed acknowledgment the same as consent?

No. It confirms that the driver received and understood the notice. Whether you need consent, and how it must be given, is a question for your legal adviser.

How long should we keep GPS data and dashcam video?

The template leaves each period blank on purpose. Set them with your legal adviser, based on the law that applies, claim and complaint deadlines and your contracts. A separate column says when data is kept longer, for example when it is linked to an accident or an investigation.

Does the notice cover in-cab cameras?

Yes. Section 2 has rows for road-facing and driver-facing video and for audio, with continuous or event-only recording, clip length and fatigue alerts. Section 6 sets when cabin video may be viewed.

What if a vehicle is also used privately?

Section 2 has a line for private use: no private use, tracking stays on, or a private mode where you describe what is still recorded. Write what your system actually does.

When should we reissue the notice?

When you add a camera or sensor, switch on audio, change a retention period or start using the data for a new purpose. Ask drivers to sign the new version.

Is there an Arabic version?

Yes. The Arabic and English files have the same ten sections, so you can give each driver the language they read well.
