What does the tracking quote comparison tool do?
It takes up to three vehicle tracking quotes and puts them on one basis: the same number of vehicles, the same comparison period and the same cost items. You enter each quote as Offer A, B or C, with no provider names, so the page can be shared inside your company without exposing who quoted what.
The tool gives three answers. The cost tab ranks the offers by total cost over the period and shows the cost per vehicle per month. The commitment tab shows how much each contract binds you to at signing. The missing information tab lists what each quote did not state, so you know what to ask before you decide. For a single offer with a payback estimate, use the GPS Tracking Cost Calculator.
Why are GPS tracking quotes hard to compare?
- Different pricing models. One provider sells the device and charges a low monthly fee. Another rents the device inside a higher fee. A third adds fees for integrations, extra users or SMS.
- Different contract terms. A 24-month quote and a 60-month quote cannot be compared on monthly price alone, because the longer one commits you to more months.
- Price increases. A yearly increase of a few percent looks small in year 1 and adds up over five years.
- Silence. A quote that does not mention installation, data export or support hours is not cheaper. It is incomplete, and the missing items often come back as extra costs or limits later.
What should you take from each tracking quote?
| Field | Where to find it | Tip |
|---|---|---|
| Device price | Hardware line of the quote | Enter 0 if the device is rented inside the monthly fee. Leave blank if the quote does not say. |
| Installation | Services line, or the installation terms | Check whether it covers wiring, sensors and travel to your sites. |
| Monthly fee per vehicle | Subscription line | Add the SIM and data charge if it is billed separately per vehicle. |
| Integration and setup fees | One-time fees | Account setup, integrations with your systems or with an authority platform, data migration. |
| Other monthly fees | Optional items and add-ons | Integration subscriptions, extra users, SMS bundles, extra report packs. |
| Minimum contract term | Contract terms | The period you pay for even if you stop earlier. |
| Yearly price increase | Pricing or renewal terms | Leave blank if the quote does not say; the tool flags it. |
| Data hosting and support | Technical or service section | Record what the quote says, not what the sales call said. |
How is the comparison calculated?
The tool works on the whole fleet for the period you choose, then divides by vehicles and months.
Offers are ranked by total cost. The commitment under each contract uses the minimum term instead of the comparison period:
A blank field counts as zero and is listed as not stated. The clarity of each offer counts what it states:
Worked example: three quotes for 50 vehicles over 3 years
These figures are examples, not market prices. A company asks for quotes for 50 vehicles and compares them over 3 years.
- Offer A: device $160 and installation $40 per vehicle, $1,000 integration and setup, $12 a month per vehicle, 36-month term, no increase. Upfront 50 × 200 + 1,000 = $11,000; fees 600 × 36 = $21,600; total $32,600, or $18.11 per vehicle per month.
- Offer B: rented device, installation $20, $20 a month per vehicle plus $100 a month in other fees, 5% yearly increase, 60-month term. Upfront $1,000; fees 1,100 × 12 × (1 + 1.05 + 1.1025) = $41,613; total $42,613, or $23.67 per vehicle per month.
- Offer C: device $120 and $16 a month per vehicle, 24-month term. The quote does not state installation, integration fees, other fees, price increases, hosting or support. Counted total $34,800, or $19.33 per vehicle per month, and it is likely understated.
- Year 1 versus 3 years: year-1 cost is $18,200 for A, $14,200 for B and $15,600 for C. B looks cheapest in year 1 and is the most expensive over 3 years.
- Commitment: B's 60-month term commits you to $73,938, of which $31,325 falls in years 4 and 5. C's 24-month term commits you to $25,200.
- Clarity: with the example checklist, A states 88% of the items, B 75% and C 21%. Before choosing between A and C, ask C for the 19 items it did not state.
Which questions should every tracking quote answer?
The missing information tab starts with 15 items you can edit. They cover what most often changes the real cost or your control over your data:
- Devices: warranty for the full term, replacement time for a faulty device, and whether SIM and data are inside the monthly fee.
- Installation: a written schedule and who installs. Test each vehicle with the GPS Tracker Installation Acceptance Checklist before you sign off.
- Data: who owns the tracking data, full export to Excel or through an API, and data handover and deletion at the end of the contract.
- Authority platforms: whether the provider links to the platforms your fleet must report to, and written proof of the approvals your authority requires. These rules differ by country and activity, so check your authority's current requirement.
- Service: Arabic interface and support, user training, support response times and a platform uptime commitment.
- Contract: a cap on price increases at renewal, the notice period and the early-termination fee.

Common mistakes when comparing tracking quotes
- Comparing the monthly fee only. A low monthly fee with an expensive device can cost more over the term than a higher fee with a rented device, and the reverse.
- Comparing different fleet sizes or terms. Ask every provider to quote the same number of vehicles and the same term.
- Treating a missing price as free. If the quote does not mention installation or integration, ask. Do not assume it is included.
- Ignoring the minimum term. A cheaper monthly fee on a 60-month contract can commit you to more than a higher fee on a 24-month contract.
- Relying on verbal answers. What counts is what the quote or contract says in writing.
Assumptions and limits
Results are estimates based on the values entered, and the defaults are examples to replace with the quotes you received. The tool assumes the same number of vehicles for the whole period, monthly fees paid every month, and the yearly increase applied to monthly fees from the start of year 2. It does not calculate tax, early-termination fees, device replacement after the warranty, or the cost of moving to another provider at the end. It does not rate the quality of a platform: a clear, cheap quote can still be the wrong system for your work. Decide what you need first with Does Your Fleet Need a Tracking System? Hosting and approval requirements depend on your country and activity, so check your authority's current requirement.
