Fuel Fill Detection

In Arabicرصد تعبئة الوقود

In short

Automatic detection of every tank fill from the rise in fuel level, with time, place and quantity, for checking against station invoices.

What is fuel fill detection in fleet management?

A clear rise in tank level over a short time, with the vehicle stationary, is a fill. Detecting it automatically gives you a record independent of the driver and the fuel card: when the vehicle was filled, where, and how many litres actually reached the tank.

Detection needs a tank level reading from a calibrated sensor. Safee's Fuel Fill alarm condition applies a minimum filling threshold before it counts a fill, so fuel sloshing in the tank is not mistaken for one.

How it works

  1. 1Tank level rises while parked
  2. 2System checks it passes the minimum
  3. 3Fill logged with litres and place

Why does fuel fill detection matter in fleet management?

Common fraud is not only draining fuel but a 200-litre invoice for a tank that took 150. Matching every detected fill to its fuel-card transaction exposes the gap at once and protects honest drivers from suspicion. It also shows fills at non-contracted stations charging higher prices.

What you gain

  • Matches invoices to the tank
  • Record independent of the driver
  • Flags unapproved stations

How does Safee help with fuel fill detection?

Safee detects every fill and records its quantity, place and time, whether at a station or from the company's own tank, and totals them per vehicle in the Fuel fill/theft report. You can then reconcile station receipts and card transactions with what reached the tank, and spot fills made away from approved stations.

A field example

Abu Dhabi · Heavy equipment rental

An equipment rental firm in Abu Dhabi issues fuel cards to its drivers and noticed card spend running above forecast. It turned on fuel fill detection for 50 trucks and matched each detected fill to the card transaction at the same time. Three drivers turned out to be charging about 60 litres more per fill than went into the tank. After disciplinary action, monthly fuel spend fell 7%.

Frequently asked questions

Why is a fill sometimes not recorded when the driver did refuel?

Usually the amount was below the minimum filling threshold, or the vehicle has nothing that measures tank level, for example only a flow meter.

Can fills from a company fuel tank be detected, not just station fills?

Yes. Detection works on any rise in tank level, and can be limited to inside or outside the site where your own tank stands.

How do I match a detected fill to a fuel card transaction?

Compare the transaction's time and quantity with the detected fill on the same vehicle. A gap that keeps recurring with one driver is worth investigating.
